Overview

Use forms to gather details about customers and jobs and email the completed form to the customer for their records.

Note: If you have the Enable Visit Assistant permission, you can have customers review and sign forms from their own device, without needing to share yours. For more, see Use the contactless experience for forms in the ServiceTitan Field Mobile App.

Things to know

  • Required arrival forms need to be completed after you tap Arrive. You can complete other forms later using the Form Trigger pop-up. If a form is required, you must complete it before you can complete the job.

  • If you need a form from a different business unit (BU), tap the Business Unit dropdown and select the appropriate BU.Job details for AOR Residential SP Warranty with highlighted appointment information.

  • If you send a form to a customer, the customer receives a PDF version of the completed form including any pictures or notes you added to the form.

  • All photos added to forms are automatically added to the job history. You can see them in the Files tab of the job.

  • Forms can be duplicated to completed jobs. The duplicated form is created as a new, incomplete copy tied to the completed job. Pre-filled data from the original form can be retained or updated. Complete a form

Note: Forms you've started but haven't completed show an Incomplete label. You can filter forms by their status, name, or completion status.

  1. Open your job and tap the Forms tab. If a form is required, you can also tap the Invoice tab.

    Note: The Invoice tab lists only required forms. Fill out optional forms on the Forms tab.

  2. Tap the form you want to complete.

    Tip: If your company uses a lot of forms, you can filter by business unit to find the one you need.

  3. Complete the form.Form for adding HVAC equipment details, including age and cooling performance options.

    Tip: Tap Next in the form to skip to the next blank field you have to fill out, avoiding the need to scroll.

    While completing a form, you can:

  4. When finished, tap Save.

Duplicate a form

Duplicate forms to complete multiple copies of the same form for a job. For example, if you're installing several HVAC condensers as part of the same job, you may be required to fill out a copy of the same form for each condenser.

  1. Open your job and tap the Forms tab.

  2. Tap More next to the form you want to duplicate.

  3. Tap Duplicate .

  4. If you've completed any of the fields in the form you're duplicating, you're prompted to either make a blank copy or a copy that contains the information you've added.

  5. When you copy a form, the original is named 1 and the copy 2 with subsequent copies named sequentially. To rename a copy, tap Rename next to the form copy name.

    Note: You can delete all but one copy. The final copy cannot be deleted.

Send a completed form to a customer

  1. Open your job and tap the Forms tab.

  2. Tap the form you want to send.

  3. Tap Send > Email Form(s).

  4. On the Email Form(s) window that opens, turn on the Send from my email toggle.

  5. Enter the recipient's email

    Note: Verify the customer's email address. You can manually add email addresses that aren't already in the system.

  6. Add forms or media if needed.

  7. When finished, tap Send.Email form interface showing fields for sender, recipient, and attachments.

Access in progress or completed forms

When you partially fill out or complete a form, you can revisit it by tapping Forms. In-progress forms have the Incomplete label. Completed forms include the date and time that they were finished.

View previous forms

  1. On the Forms tab, tap Previous Forms.

  2. On the Previous Forms screen that opens, you can view the forms you previously created.

To view previous equipment forms:

  1. On the Equipment tab, tap the equipment you want.

  2. On the screen that opens, tap the Forms tab.

View forms with conditional logic

If office managers set up conditional logic in the forms, the rules will be applied as you fill them out. For example, if you indicate that there is no AC unit, all related questions about air conditioning are hidden. For more, see Use conditional logic in forms.

  1. Open a form.

  2. If the form has conditional logic, you can see the Conditional logic indicator.Form for adding equipment with conditional logic and HVAC system age input.
