Manage forms for equipment in the ServiceTitan Field Mobile App

Overview

In the ServiceTitan Field Mobile App, link forms to specific equipment and copy them across multiple pieces of equipment. This feature reduces errors and saves time by simplifying form duplication and equipment linking.

Tip: If the video doesn't play in full screen, tap More then Fit Screen .

Feature configuration

Things to know

  • Complete forms for equipment from the Forms tab or the Equipment tab of a job.

  • Office employees see and access forms when you complete and link them in the ServiceTitan Field Mobile App.

  • On the Forms tab, only forms that are relevant to the job's business unit are shown. If you need to work with a form from a different business unit, tap Business Unit and select a different business unit.

  • Manage Links and Copy To form options only appear if the form's Assigned To field is set to Equipment. This is done when configuring the form on the office side.

  • If you start working on a form but exit the form before completing it, the Incomplete label appears on the form.

  • You can only delete forms that you duplicate. If the form is related to equipment, you can create a new copy and add it to selected equipment, or link the form to selected equipment.

Complete equipment forms from the Forms tab

Select each piece of equipment that the form should be copied to, and the form is automatically copied and linked to each piece of equipment.

Note: When using smart fields, they will automatically populate with equipment information as soon as copied forms are linked.

To copy a form to multiple pieces of equipment:

  1. Open your job and tap the Forms tab.

  2. Tap More next to the equipment form you want to copy to other pieces of equipment, and then tap Copy ToA list of forms with completion statuses and action options for managing documents.

  3. In the list of equipment that opens, select each piece of equipment you want to copy to the form.

    Tip: You can tap the Sort field to sort by the equipment name, serial number, installed date, or last serviced date.

  4. When finished, tap Copy Form to EquipmentSelect equipment for maintenance update, highlighting TRANE CU Sys #1 details.

The Forms tab now shows all of the forms you copied. Each of the copies is linked to a piece of equipment whose name shows on top of the form name.

Link a form to a piece of equipment

Link forms to equipment to keep a record and easily access all forms completed for that piece of equipment.

Note: When you link a form to equipment on the mobile app, that form also appears on the Equipment screen in the office.

To link to a form:

  1. Open your job and tap the Forms tab.

  2. Find the form you want to link and tap More.

  3. Tap Copy ToMenu options include Duplicate, Rename, Manage Links, and Copy To actions.

  4. Select a piece of equipment you want to link this form to.

    Note: You can link multiple pieces of equipment to each form, but this prevents linked equipment smart fields from working correctly. You can also search for the equipment by name or model number.

  5. When finished, tap Update LinksManage links for Trane gas furnace systems with model and serial numbers listed.

The form you linked to the piece of equipment now shows a linked icon and the equipment name the form is linked to.

You can link additional pieces of equipment to a form, or remove existing links, using the Manage Links option on a form that's linked to a piece of equipment.

Menu options include Duplicate, Rename, Manage Links, and Copy To actions.

Complete a form for an existing piece of equipment

  1. Open your job and tap the Equipment tab.

  2. Tap the equipment to which you're adding a form.

  3. Tap Forms.

  5. Complete the form as usual.

View previous forms

On the Forms tab, tap Previous Forms. On the Previous Forms screen that opens, you can view the forms you previously created.

Or,

  1. On the Equipment tab, tap the equipment you want.

  2. On the Equipment screen that opens, tap the Forms tab.
