Add estimates, notes, and more to completed jobs in the ServiceTitan Field Mobile App

Overview

Add estimates, notes, media, purchase orders, and forms to completed jobs directly in the Field Mobile App. You can also sell, edit, duplicate, rename, and delete estimates on completed jobs. This eliminates the need for office workarounds when follow-up documentation or scope changes arise after job completion.

Feature configuration

  • The Field Mobile App is optimized for iOS, iPadOS, and Android phones and tablets. For more, see System requirements and mobile app information.

  • If you're using the Field Mobile App and need support, please contact (through the office) or reach out directly to support@servicetitan.com.

  • The following permissions are required to use this feature. Please contact the account administrator on your team.

    • Edit Estimate Name And Summary: Required to rename estimates.

    • Delete Estimate: Required to delete estimates.

    • Create Estimate: Required to create and duplicate estimates.

    • Add Estimate and Invoice Item: Add items to estimates.

Things to know

  • All actions on completed jobs work both online and offline, except generating spec-based estimate templates, which requires an internet connection. Changes sync to the office when connectivity is restored.

  • Adding an estimate to a completed job creates it in an Unsold state. Make sure to mark the estimate as Sold, as needed.

  • Creating or editing a purchase order on a completed job updates the associated invoice. If the invoice was previously exported, a discrepancy is noted for office reconciliation.

  • The names of certain screens, tabs, and so on may be different based on your selection in Menu > Settings. For more, see Show Residential or Commercial terms in the ServiceTitan Field Mobile App.

Best practices

  • Use completed-job estimates to capture follow-on work identified after the original scope is finished, rather than creating a new job.

  • Add notes and media to completed jobs immediately after identifying follow-up concerns to preserve context while details are still fresh.

  • When duplicating a form on a completed job, review and update the pre-filled fields to reflect the follow-up scope before submitting.

  • When selling an estimate on a completed job, confirm the scope with the customer before selling, since the work will be scheduled separately from the original job.

Use cases

  • A salesperson finishes a walkthrough on a completed job and the homeowner requests a new project outside the original scope. The salesperson creates a custom estimate directly on the completed job to capture the opportunity.

  • A technician returns to a site to assess a follow-up concern and takes photos of the condition. No media existed on the completed job, so the technician adds media to document the issue.

  • A technician realizes the material quantities on a completed job are incorrect. They create a purchase order on the completed job so the corrected costs sync to the invoice without office intervention.

  • A technician returns to a completed job site and identifies additional work. They create an estimate and sell it as Perform work later so the office can schedule the follow-up.

  • A technician needs to adjust the scope on a sold estimate from a completed job. They edit the sold estimate to update the line items, and the changes sync to the associated invoice for office reconciliation.

Add an estimate to a completed job in the Field Mobile App

Add a custom estimate or an estimate from a template to a completed job where no estimate previously existed, or where additional estimates are needed for follow-on work:

  1. Open the completed job and:

    • If your default terminology is set to Residential, tap the Estimates tab.

    • If your default terminology is set to Commercial, tap the Proposals tab.

  2. From here, you can create an estimate from a template or build a custom estimate. For more, see Create estimates in the ServiceTitan Field Mobile App.

Note: Estimates added to completed jobs are created as Unsold.

Duplicate, rename, or delete an estimate on a completed job in the Field Mobile App

Use estimate actions on a completed job to duplicate, rename, or delete estimates:

  1. Open the completed job and:

    • If your default terminology is set to Residential, tap the Estimates tab.

    • If your default terminology is set to Commercial, tap the Proposals tab.

  2. From here, you can tap the Copy icon to duplicate the estimate. For more, see Duplicate an already built estimate in the Field Mobile App.

  3. You can also tap More on an estimate to Rename or Delete it. For more, see Use estimate actions in the Field Mobile App.

Note: You can only delete unsold estimates. Sold estimates cannot be deleted.

Edit an estimate on a completed job in the Field Mobile App

Edit unsold or sold estimates on a completed job to update line items, add materials, or adjust the scope:

  1. Open the completed job and:

    • If your default terminology is set to Residential, tap the Estimates tab.

    • If your default terminology is set to Commercial, tap the Proposals tab.

  2. Tap the estimate you want to edit.

  3. From here, you can edit the estimate as needed. For more, see Edit estimates in the ServiceTitan Field Mobile App.

Note: You can edit both unsold and sold estimates on completed jobs. Editing a sold estimate on a completed job may update the associated invoice. Ensure your office manages any reconciliation needed. Account configuration is required to edit sold estimates. Please contact your office for details.

Sell an estimate on a completed job in the Field Mobile App

After you create an estimate on a completed job, sell it so the office can schedule the follow-up work:

  1. Open the completed job and:

    • If your default terminology is set to Residential, tap the Estimates tab.

    • If your default terminology is set to Commercial, tap the Proposals tab.

  2. From here, you can sell the estimate. For more, see Sell an estimate in the Field Mobile App.

Note: When you sell an estimate on a completed job, it's automatically set to Perform work later. Selling an estimate on a completed job does not trigger financial recalculations on the completed job's invoice. Ensure your office manages any follow-up scheduling.

Add a note to a completed job in the Field Mobile App

Add a note to a completed job when no notes previously exist:

  1. Open the completed job and tap Add > Note.

  2. From here, you can add a note. For more, see Add and edit notes in the ServiceTitan Field Mobile App.

Note: The note syncs to the office and appears in the job history on the next sync.

Add media to a completed job in the Field Mobile App

Upload photos, videos, or files to a completed job when no media previously exist:

  1. Open the completed job and tap Add at the bottom.

  2. On the window that opens, you can:

    • Take Photo or Video

    • Upload Photo or Video

    • Upload File

Note: Media uploads are queued offline and sync when connectivity is restored.

Create or edit a purchase order on a completed job in the Field Mobile App

Create a new purchase order or edit an existing one on a completed job to correct material quantities or order additional materials for follow-on work:

Create a purchase order

  1. Open the completed job and tap Add > Purchase Order.

  2. From here, you can create a purchase order. For more, see Create and send a purchase order in the ServiceTitan Field Mobile App.

Note: Equipment and materials added to the purchase order are reflected on the invoice, including markup if applicable.

Edit a purchase order

  1. Open the completed job and scroll to the More section on the Job tab.

  2. Tap Purchase Orders.

  3. From here, you can edit a purchase order. For more, see Edit a purchase order in the ServiceTitan Field Mobile App.

Note: If the invoice was previously exported, a discrepancy is noted for office reconciliation. Only purchase orders in Pending status can be edited.

Duplicate a form on a completed job in the Field Mobile App

Duplicate an existing ServiceTitan form on a completed job to reuse the form structure for follow-up documentation:

  1. Open the completed job and tap the Forms tab.

  2. Find the form to duplicate and tap More > Duplicate .

  3. The duplicated form opens as an incomplete copy. Update the fields as needed. For more, see Complete and send forms in the ServiceTitan Field Mobile App.

Note: The duplicated form is created as a new, incomplete copy tied to the completed job. Pre-filled data from the original form can be retained or updated.
