Add notes, media, and file attachments in ServiceTitan

Overview

Notes, media, and files can be added to customer and location records, jobs, projects, and forms in ServiceTitan. This helps your office facilitate communication, decision-making, and workflow efficiency.


Who uses this feature

Feature configuration

  • The Edit note permission is required to use this feature. Please contact the account administrator on your team.

Things to know

  • Supported media and file types:        

    • Images: jpg, jpeg, gif, png, webp, 3gp, rup, dng, heic, heif, tif, tiff, jfif

    • Videos: mov, mp4, avi                

      Note: The AVI format is supported only when added from ServiceTitan Mobile.

    • Documents: doc, xls, docx, xlsx, ppt, pptx

    • Other: mp3, htm, html, vcf, txt, xml, csv, smil, pdf

  • If a customer has an active job and sends a photo or video through chat, the media is automatically added to the job as an attachment in the Files tab.

  • If media was deleted by accident, we recommend opening the job in ServiceTitan Next to see if it can be recovered there. If the media isn't in Next, please contact Technical Support.

  • Notes added from the Accounting section only appear within the Accounting section. These notes do not appear in the customer, location, job, and project records.

Add a note

Add a note to a customer or location record

  1. Search for and open the customer or location record.

  2. Go to the Notes section and click Add Note.

  3. Enter your note.

  4. When finished, click Add Note.        

    Tip: You can select Pin Note to have it always be at the top of the Notes section in the customer or location record. You can also select Add note to location page or Add note to customer page to duplicate it on the respective location or customer record.

Add a note to a job

  1. Search for and open the job record.

  2. Go to the History section and click Leave a note...

  3. Enter your note.

  4. When finished, click Save.        

    Tip: You can select Pin this note to the top to have it always be at the top of the Notes tab in the job record.

Add a note to a project

  1. Search for and open the project.

  2. In the side menu, click History.

  3. Click Leave a note...

  4. Enter your note.

  5. When finished, click Save.        

    Tip: You can select Pin Note to have it always be at the top of the Notes tab in the project.

Add a note to a form

Technicians can add notes to a form while completing it in ServiceTitan Mobile. For more, see the Complete a form and Attach form findings to estimates sections of Complete and send forms in ServiceTitan Mobile.

Edit or delete a note

Edit or delete a note in a customer or location record

  1. Search for and open the customer or location record.

  2. Go to the Notes section and find the note you want to edit or delete.

  3. Hover over the note and click Edit    to change it or Delete to remove it. Customer notes section showing an editable note and options to add or delete notes.

Edit or delete a note in a job record

  1. Search for and open the job record.

  2. Go to the History section, click the Notes tab, and find the note you want to edit or delete.

Edit or delete a note in a project

  1. Search for and open the project.

  2. In the side menu, click History.

  3. Click the Notes tab and find the note you want to edit or delete.

  4. Hover over the note and click Edit    to change it or Remove to delete it. 

Add media or a file attachment

Note: When you add a media or file attachment, make sure to attach a supported media or file type. Otherwise, your attachment won't be uploaded. Add media or a file to a customer or location record

To add media:

  1. Search for and open the customer or location record.

  2. Go to the Photos & Videos section and click UploadUser interface for uploading photos and videos with a visible upload button.

  3. Find the media you want to attach to the record, select it, and then click Open.

To add a file:

  1. Search for and open the customer or location record.

  2. Go to the Attachments section and click Add AttachmentTable displaying attachment details with an option to add a new attachment.

  3. Find the file you want to attach to the record, select it, and then click Open.

Add media or a file to a job

  1. Search for and open the job record.

  2. Go to the History section and click the Paperclip icon. History section with options for events, calls, notes, files, and email attachments.

  3. Find the file you want to attach to the job, select it, then click Open.

Add media or a file to a project

  1. Search for and open the project.

  2. In the side menu, click Documents.

  4. Find the media or file you want to attach to the project, select it, then click Open.

Add media or a file to a form
