Overview

Use the ServiceTitan Field Mobile App to record where commercial equipment sits and which areas it serves. Technicians can assign hierarchical physical locations and service areas directly from equipment records.They can also drop GPS pins on a satellite map and attach floor plans as a visual reference. This makes it faster to find and confirm the right unit during service calls in large commercial buildings.

  • Physical Location describes where a unit is installed.

  • Service Area describes what space it serves.

    Note: Equipment records can have both. Equipment systems can have a Service Area only — Physical Location is not available at the system level.

Feature configuration

  • The Field Mobile App is optimized for iOS, iPadOS, and Android phones and tablets. For more, see System requirements and mobile app information.

  • If you're using the Field Mobile App and need support, please contact (through the office) or reach out directly to support@servicetitan.com.

  • Account configuration is required to use this feature. Please contact your office for details.

  • The Enable Editing Equipment Physical Locations and Service Areas permission is required to create and edit the physical location and service areas on an equipment record or system. Please contact your office for details.

Things to know

  • Physical locations and service areas support up to 5 levels of hierarchy. For example, Building > Floor > Room > Workstation.

  • Each equipment record has one physical location but can have multiple service areas. Equipment systems can also have multiple service areas. Physical Location cannot be assigned to a system — only to individual equipment records.

  • After a hierarchy level is created, it cannot be renamed in the field. Plan your hierarchy naming before saving.

  • Creating a hierarchy level with a name that already exists at the same position in the hierarchy is blocked with an inline error until you enter a different name.

  • Existing parent levels in a hierarchy cannot be deleted while children exist. Delete from the bottom up.

  • New hierarchies and assignments created in the field sync to the office automatically when connectivity is restored.

Best practices

  • Build your physical location hierarchies before assigning service areas. Locations describe where equipment sits; service areas describe what it covers.

  • Use the same physical location and service area names your customers use. Matching their language speeds triage when they call about an area-specific issue.

  • For exterior or rooftop equipment, drop a GPS pin on the satellite map. For basement, interior, or mechanical room equipment, attach a marked-up floor plan as a Location Attachment.

  • During site walks at a new facility, capture physical locations and service areas as you encounter equipment. This creates a baseline for future visits.

  • Use service area filters on the Equipment Systems list to narrow your view when responding to a service call. Tapping a chip on a system card filters instantly.

  • Search before creating a new location or service area. Reusing existing entries keeps your hierarchies clean and consistent.

Use cases

  • A commercial HVAC technician arrives at a multi-floor office building dispatched for "no cooling in conference room A." They search the equipment list for "Conference Room A" and immediately see the system serving that zone, with its full physical location path.

  • A refrigeration technician at a supermarket receives a ticket noting "produce aisle warming up." They filter the systems list by the Produce Aisle service area chip and confirm which condensing unit on the roof is responsible.

  • A technician on their first visit to a multi-building campus opens an equipment record and taps the location pin icon to see exactly where the rooftop air handler sits on a satellite map.

  • A mechanical contractor servicing a basement boiler taps the Location Attachment thumbnail to view the marked-up floor plan showing the boiler's exact position relative to the stairwell.

  • During a site walk at a new commercial customer, the lead technician creates the building's location hierarchy on the fly—Building 1 > Floor 1 > Conference Room A—capturing each piece of equipment with its physical location and service area as they go.

Assign a physical location to equipment

  1. Open the job and tap the Equipment tab.

  2. Tap the equipment you want to update.

  3. Tap Edit A simple icon in the shape of a pencil. .

  4. Tap the Physical Location field.

  5. Search or browse for the location, then tap to select. You can select at any level, not just the deepest hierarchy.

    Note: Physical Location is single-select. Selecting a new location replaces any existing assignment.

  6. After selecting a location, tap Add Physical Location.

  7. The location you selected is shown. Tap Add or Save to finish adding it.

Remove a physical location from equipment

  1. Open the equipment record and tap Edit.

  2. Tap the Physical Location fieldForm to add equipment details for an air conditioner in a mobile application.

  3. Select No Physical Location and tap Save.

Assign service areas to an equipment record or system

  1. Open the job and tap the Equipment tab.

  2. Tap the equipment record or equipment system you want to update.

  3. Tap Edit A simple icon in the shape of a pencil..

  4. Tap the Service Area field.

  5. Search or browse for a service area, then tap to select. Repeat to assign additional service areas—the field supports multi-select.

  6. After selecting a service area or areas, tap Add Service Area.

  7. The area you selected is shown. Tap Add or Save to finish adding it.

Remove a service area from an equipment record or system

  1. Open the equipment record or equipment system and tap the Service Area field. Previously assigned areas appear checked.

  2. Uncheck the area you want to remove, or select No Service Area to clear all assignments.

  3. Tap Save.

Create a new physical location or service area

  1. Open the Physical Location or Service Area picker on the equipment record or system.

  2. Tap Create New Physical Location or Create New Service Area.

  3. Start typing the top-level name. If a matching hierarchy exists, it appears as an autocomplete suggestion—tap to use it. If no matches appear, tap Create Physical Location or Create New Service Area.

    Note: Selecting an existing top-level entry pre-populates the hierarchy and shows a blank field for the next level. Existing levels appear shaded and cannot be renamed.

  4. Continue adding levels as needed in the blank field below the current level. You can add up to five levels.

    Tip: To remove a level , tap the Delete icon next it. Only the deepest level can be deleted during creation. To remove a parent level, first delete its children.

    Caution: Entering a name that already exists at the same hierarchy level shows an inline error — "A service area with the same name already exists" (or the equivalent for a physical location) — directly under that field. Enter a different name for that level before continuing.

  5. Tap Create Physical Location or New Service Area to create the hierarchy.

    Caution: Hierarchy levels cannot be renamed after you create them. Plan the names carefully before saving. Only the deepest level you create is automatically assigned to the equipment record; parent levels are added to the system but remain unassigned.

  6. The location or area you created is shown on the equipment record or system. Tap Add or Save to finish adding it.

Find equipment records or systems by physical location or service area

  1. Open the job and tap the Equipment tab.

  2. For equipment records, select the Equipment view. For equipment systems, select the Systems view.

  3. Tap Search A simple icon in the shape of a magnifying glass. to search by name, or scroll to the side and tap the Physical Location filter or Service Area filter.

    Note: Search is case-insensitive and matches partial text across full hierarchical paths. To clear filters, tap Reset.

  4. Tap a result to open it.

Filter by location or service area

In addition to the quick-access chips next to the Equipment/Systems toggle, tap the Sort & Filter icon for the full filter panel:

  • Physical Location and Service Area — filter to equipment or systems assigned to a specific location or area

  • Equipment Type — filter by equipment type

  • On the Equipment view only: Memberships, Tags, Manufacturer Warranty, and Service Warranty are also available

    Filter options for sorting by physical location, service area, and warranty status.

    Tap Apply to apply your filters, or Reset All to clear them.

Drop a GPS pin to mark equipment location

Note: Dropping a GPS pin requires an active internet connection. The pin tagging interface opens in a web view that cannot be used offline.

  1. Open the equipment record, scroll to the Physical Location section, and tap Satellite Map.

    Note: If a pin has already been dropped, you see the latitude and longitude coordinates instead of Satellite Map.

  2. The map opens centered on your device's current GPS coordinates. Tap anywhere on the map to drop the location pin.

  3. Tap Add Physical Location to finish adding the GPS coordinates to the equipment record.

    Tip: Tapping the icon in the lower right corner of the map brings you back to your current location if you zoomed too far out or scrolled too far away.

Update an existing GPS pin

  1. In the the Physical Location section of the equipment record, tap the latitude and longitude coordinates.

  2. The map opens at the saved pin location. Tap the Edit A simple icon in the shape of a pencil. icon to unlock pin repositioning.

  3. Move the map under the pin to reposition then tap Save.

If location services are unavailable

  • Device location is disabled: The satellite view is replaced with a standard map and a Search any location bar, so you can still search for and set an address manually without GPS.

  • Offline: The satellite map shows "Map unavailable offline. The satellite view is offline. Check your connection and try again." Try again once you're back online.

Add a location attachment to equipment

A location attachment is a photo, site plan, floor plan, or schematic designated as the primary visual reference for an equipment record's physical location. Use it for equipment in basements, interior floors, or other locations where a satellite map isn't useful.

  1. Open the equipment record, scroll to the Physical Location section, and tap Location Attachment.

  2. On the screen that opens, select an attachment source:

    • Take photo

    • Upload photo

    • Select from equipment media

    • Select job media

    Tip: When taking or selecting photos, you can capture or choose several at once. A Review and Add screen shows all the photos you captured with a checkbox on each — select the ones you want and tap Add to attach them together.

  3. After you finish adding an attachment, it's shown as a thumbnail preview in the Physical Location section.

Set an existing attachment as the Location Attachment

  1. On the equipment record, tap the thumbnail or View Attachments.

  2. Tap the More A simple icon in the shape of three dots, lined up vertically. icon next to the attachment you want to designate.

  3. On the window that opens, tap Set as default photo.

  4. The attachment becomes the Location Attachment and appears as a thumbnail in the Physical Location section.

Remove an attachment as the Location Attachment

  1. On the equipment record, tap the thumbnail or View Attachments.

  2. Tap the More icon next to the current Location Attachment.

  3. Tap Remove as location attachment.

Work with physical locations and service areas offline

Field technicians regularly work in basements, mechanical rooms, and other low-connectivity areas. Most physical location and service area workflows are fully available offline.

What works offline:

  • Viewing assigned physical locations and service areas on equipment records and systems

  • Assigning or changing existing physical locations and service areas

  • Creating new physical location and service area hierarchies in the field

  • Filtering and searching equipment by physical location or service area

  • Adding a Location Attachment from the device camera or library

  • Viewing existing Location Attachment thumbnails

What requires connectivity:

  • Viewing the satellite map

  • Dropping or updating a GPS pin in the satellite map

Changes made offline are saved locally and sync automatically when connectivity is restored. If two technicians modify the same assignment while offline, the server resolves the conflict using last-write-wins on sync—no manual intervention is required.
