Manage physical location, service areas, and GPS coordinates for installed equipment

Overview

ServiceTitan lets you capture structured location data for installed equipment, including where a unit is physically located, its coordinates, images and attachments documenting its location and the areas it services. These features eliminate the guesswork of tracking down equipment on large commercial properties and make it easy to filter, find, and manage units by location and service areas.

Things to know

  • Areas are location-scoped; each ServiceTitan location has its own independent area hierarchy, up to five levels deep, for example: Building > Floor > Room > Zone > Subzone. Hierarchies do not carry over between locations.

  • Physical Location is a single-selection field that identifies where a piece of equipment physically lives. Service Areas is a multi-select; one unit can be linked to multiple areas it services.

  • Changes to area names in the Manage Areas drawer reflect immediately across all equipment records at that location.

  • GPS coordinates (latitude, longitude) are stored separately from the area hierarchy. Latitude must be between -90 and 90, longitude between -180 and 180, and you need to enter both fields together.

Set up areas for a location

You can assign a physical location and service areas by creating hierarchical areas directly on the equipment record or by selecting existing areas and hierarchies that were created in advance.

  1. On the Location screen, click Equipment.

  2. Click View all Equipment to go to the Equipment screen.

  3. Click Manage Areas to add new areas to the location. Manage equipment details for a water heater at 7-11 location in Westport.

  4. In the Manage Areas drawer that opens, click +Add to create a top-level area, for example, a building name.

  1. To add a child area located under an existing one, click the + icon next to the parent area. Instructions for setting up areas in the 7-11 Demo Store location management interface.

  2. Continue adding areas up to five levels deep as needed.

  3. When finished, click Save Areas.        

    Tip: If you rename an area, every equipment record assigned to it reflects the new name automatically.

Assign a physical location to equipment

Assign a single area that shows where the equipment is physically located on the property.

  1. Open the equipment record from the Equipment screen or from the Location Record.

  2. Click Add Equipment or edit an existing equipment record.

  3. Find and click the Physical Location field and select an area from the dropdown. Form for adding equipment with highlighted location selection options.

  4. Attach physical location attachments if needed.

  5. Click Save. The equipment record now shows the selected area as its physical location.

Assign service areas to equipment

Assign one or more areas that represent the Zones of the equipment services. A single unit can serve multiple areas.

  1. In the equipment drawer, go to the Service Areas section.

  2. Select one or more areas from the dropdown or click Add service area to add a new area.

  3. Repeat to add additional service areas as needed.

  1. Click Save. The equipment record now lists all assigned service areas. To remove a service area, click the X next to it and save.

Add or edit coordinates for equipment

You can view, add, or edit the coordinates stored on an equipment record directly from the equipment drawer.

  1. In the equipment drawer, find the Latitude and Longitude fields.

  2. Enter values in the Latitude and Longitude fields.        

    Note: Latitude must be between -90 and 90. Longitude must be between -180 and 180. You must save both fields together. You cannot save only one.

  3. If coordinates already exist and you are overwriting them, confirm the window that appears before saving.

  4. Click Save. The updated coordinates appear in the Coordinates section of the equipment record. AC system details including coordinates and physical location information for service area.

Filter equipment by service area and physical location

Use the Service Area or Physical Location filter to narrow the equipment records to units serving a specific area, set of areas, or physical location.

Note: You can filter by physical location and service areas when attaching equipment to a job in the Call Booking screen's Attach Equipment drawer.

  1. On the Equipment screen, click FiltersEquipment management interface displaying details for a water heater at 7-11 location.

  2. Select one or more service areas from the list. You can select a parent area, such as a building, to return all equipment in any sub-area beneath it. Dropdown menu showing service area options for Building A, Floor 1, Unit 101.
