Flexible Timekeeping lets you track time against jobs, projects, project labels, and labor types — with configurable timesheet activities and pay rates based on employee role and activity type.

Setup checklist

Define technician and employee roles

Determines who can log time against a given timesheet activity. You can also break roles into groups.

Define business units

Set up the business units that will be used for time allocation and reporting.

Set up labor types

Configure the labor types used to cost time to jobs and projects.

Set up earnings codes

Define earnings codes for use in timesheet pay rules and payroll exports.

Set up employees and technicians

Ensure employees and technicians are configured with the correct roles and permissions.

Set up timesheet tags

Enable the Allow to use on timesheet activity setting on each tag so it appears on timesheets.

Required permissions

Administrators need Create timesheet activities and Allow to view and edit user timesheet activities. Office employees and technicians need Employee can edit their own timesheet entries.

Once setup is complete

Office employees and technicians can track time against jobs and projects. Historical payroll data remains locked and unaffected when enabling Flexible Timekeeping.

Note: Enabling Flexible Timekeeping hides past timesheets from job records, but the data remains in the system. You can still access timesheets through the Timesheet Detail Report and Master Pay File. Historical payroll data remains locked and unaffected.

Step 1:Review default activities and categories. Flexible Timekeeping comes with several commonly-used activities and categories set up for you. You can keep these defaults or deactivate or archive them.

Step 2:Create new categories and activities to use for timekeeping. Categories are used to organize related activities, so they should be set up first.

Step 3:Set up ongoing time entries. This allows for continuous timekeeping, so your employees or technicians can create new time entries without needing the office to close out existing entries.
