Use Maintenance Reminders in Fleet Pro

Overview

The Maintenance Reminder section in Fleet Pro allows you to create and update vehicle maintenance reminders. This helps you proactively manage the lifecycle of your fleet. Reminders can be viewed in ServiceTitan directly and be configured to be sent as email notifications.

Things to know

  • Maintenance reminder notifications can only be sent instantly over email.

View Maintenance Reminders

The Maintenance Reminder screen shows all the existing maintenance reminders that have been created. To view all maintenance reminders:

  1. Go to the navigation bar and click Fleet Pro .

  2. In the side menu, click Reminders.

The Maintenance Reminders table columns consist of the following:

  • Vehicle Name: Name of the vehicle or asset that the reminder is assigned to.

  • Group: Name of the group the vehicle or asset is assigned to.

  • Status: Status of the reminder.

    • Upcoming: Indicates a reminder that is more than 30 days away.

    • Due soon: Indicates a reminder that is due within the next 30 days.

    • Overdue: Indicates a reminder that is overdue for service.

  • Scheduled Due Date: Date the vehicle service should be completed based on the reminder’s schedule.

  • Service Type: Type of service that should be performed for the vehicle. 

  • Recipients: Drivers or other recipients who will receive notifications for the reminder.

  • Notifications: Indicates if the reminder has notifications enabled.

  • Notification Methods: Indicates how notifications are being sent. 
    Note: Email is currently the only notification method available

  • Settings: Displays the mileage, engine run time, and time intervals set for the reminder.

    Tip: You can add or remove these columns by clicking Edit Columns.

Export Maintenance Reminders to Excel or CSV

  1. Go to the navigation bar and click Fleet Pro .

  2. In the side menu, click Reminders.

  3. Select the reminders you want to export by selecting their checkboxes.

  4. Click the Actions dropdown and select Export to Excel or Export to CSV.

Create a Maintenance Reminder

  1. Go to the navigation bar and click Fleet Pro .

  2. In the side menu, click Reminders.

  3. On the Maintenance Reminders screen that opens, click Create Reminder.

  4. Select a vehicle from the Vehicle dropdown.

    Note: If you select a vehicle with an existing reminder, the existing reminder automatically appears so you can edit it.

  5. Select a Service Type from the Service Type dropdown. You can select a prebuilt service type or select Add Custom to create a new one.

    Note: Custom service types are assigned to your vehicle and added to the list for future use. They can't be deleted from the service type list.

  6. Choose the Last Service Date for the service type. This is crucial for all interval types (Time, Mileage, Engine Runtime), as the readings from that particular day is the base for calculating when the next reminder is triggered.

  7. Edit each interval for this alert. This dictates when the email reminder is sent, based on the variable.

    • Mileage Interval: The reminder is sent after the vehicle travels the selected amount of miles.

    • Engine Run Time Interval: The reminder is sent after the vehicle’s engine runs the selected amount of hours.

    • Time Interval: The reminder sends after the selected amount of days, months, or years has passed.

  8. If you’d like to add another service type to the reminder, click Add Service Type and repeat steps 3-7.

    Tip: If you want to delete a Service Type. click Delete .

  9. Select Send reminder notification by email then:

    1. Select Recipients from the dropdown list.

    2. Select Send alert to assigned driver if you want them to also receive the alert.

    3. (Optional) Add Additional email recipients if you want them to also receive the alert. This can include email addresses of service managers or other outside contacts.

  10. Under Reminder Schedule, set when the reminder is sent by editing the following intervals:

    • Miles: Set a reminder to be notified a certain number of miles before the vehicle reaches a specified mileage interval.

    • Hours: Set a reminder to be notified a certain number of hours before the engine hours reach the specified run-time interval.

    • Days: Set a reminder to be notified a certain number of days before the vehicle’s next service interval.

  11. When finished, click Save.

To edit a reminder, click the Vehicle Name from the Maintenance Reminder screen.
