Attach invoice templates to recurring membership types to help generate billing invoices or to recurring service types to help generate invoices for service visits included with memberships.
Things to know
You can create invoice templates before attaching them to recurring service and membership types.
Invoice templates created within membership or recurring service types do not appear on your Invoice Templates screen. You can edit them within the membership type or recurring service type.
If you use deferred revenue, invoice templates help you account for membership revenue recognized from recurring service events. For more on deferred revenue, see Set up recurring revenue. Note: Account configuration is required to use deferred revenue. To update your account, please contact Technical Support for details.
Attach an invoice template to a recurring service type
Attach an invoice template while creating a recurring service type.
Attach an existing invoice template
In the Add a Recurring Service Type record:
Click the Invoice Template dropdown and select the template you want to use.
When you’re done setting up the recurring service type, click Save.
Create a new invoice template
In the Add a Recurring Service Type record:
In the Invoice Template dropdown, click Create Invoice Template. The Create Recurring Service Invoice Template page opens.
Edit the template as needed:
To add services:
In the Services section, click Add Service.
In the Search field, enter the first few letters of the Pricebook service item code. Select the item from the dropdown.
Note: Make sure the total of all services equals $0.00.
Enter or edit the description, quantity, unit price, hours, or add-on fields as needed.
To add materials:
In the Materials section, click Add Material. The Add Material pop-up opens.
In the Search field, enter the first few letters of the Pricebook material item code. Select the item from the dropdown.
Note: You can adjust the quantity of the material item, but the unit price must be $0.00. You cannot add chargeable material items to an invoice template.
Enter or edit the description, quantity, chargeable, and unit price fields as needed.
When you’re done, click Add to Recurring Service.

Attach an existing billing invoice template
In the Billing Template section:
Click the Select Invoice Template dropdown and select the billing invoice template to use for ongoing billing of the membership.
Click Save & Next to continue to the next step.
Create a new billing invoice template
In the Billing Template section:
Click Create Billing Template to set up a new invoice template.
The Create Billing Invoice Template page opens.
Edit the template as needed:
To add services:
In the Services section, click Add Service.
In the Search field, enter the first few letters of the Pricebook service item code. Select the item from the dropdown.
Enter or edit the description, quantity, unit price, or add-on fields as needed. Note: You can adjust the unit price of the item. This only affects the price on the invoice template and doesn’t affect the Pricebook item.
When you’re done, click Add to Membership Type.
