Hide line items on estimates

Overview

Hide line items on an estimate — services, chargeable or non-chargeable materials — so only the items you want appear on customer-facing PDFs and printed estimates. Hidden items remain visible in the internal estimate view. With Document Template Engine (DTE) enabled, you can also manage visibility at the template level.

Things to know

• Hidden items only affect customer-facing PDFs and printed estimates — they remain visible in the internal estimate view.

• You can hide any line item on an estimate, including services, chargeable materials, and non-chargeable materials.After hiding an item, you can unhide it at any time from the same menu.

• When using Template Manager, items hidden individually from the estimate screen are also excluded from the printout.

Best practices

• Use this feature to simplify estimates for customers by showing only relevant materials or services while keeping detailed costing for internal tracking. For example, hide non-chargeable tracking materials, zero-dollar service lines, or internal cost items that don't need to appear on the customer's estimate.

Use cases

• A business wants to hide internal material tracking items that don't need to appear on the customer's estimate.

• A manager prefers to present only high-level services to customers while retaining detailed internal pricing.

• A contractor wants to hide a zero-dollar service line that might confuse the customer.

• An administrator hides specific chargeable line items to present a simplified estimate showing only the key services.

Hide line items on Estimate without Document Template Manager

To hide an item

When Document Template Manager is disabled, you can hide specific line items directly on the estimate page.

1. Use Search to find and open the estimate you want to send to your customer.

2. Click More on the materials you want to hide. 

3. In the dropdown, click Hide the Item.

The item is now hidden from the customer-facing PDF and printed estimate but remains visible in the internal estimate view.

To unhide an item

1. Click More on the hidden item.

2. In the dropdown, click Unhide the Item.

The item appears again on the customer-facing PDF and printed estimate.

Hide line items on Estimate with Document Template Manager

When Template Manager is enabled, you have two ways to manage line item visibility:

Option 1: Hide individual items from the estimate screen

You can hide and unhide individual line items using the same steps as without Template Manager. Items hidden this way are excluded from the printout. For more, see to hide an item.

Option 2: Hide non-chargeable materials at the template level

To hide all non-chargeable materials across estimates that use a specific template:

1. Go to the top navigation bar and click Settings  .

2. In the side panel, click Operations > Document Templates.

3. Edit the template where you want to hide the line items on.

4. Disable the Show non-chargeable materials toggle on the Estimate Items or Estimate Materials component.
