View service agreement audit trails

Overview

The Audit Trail for service agreements (SA) provides a complete, chronological record of all changes made to an agreement and its associated visits. It shows who performed each action and what was changed, giving you clear visibility into the agreement's history.


Who uses this feature

  • Administrators, dispatchers, project managers, and operations managers

  • Primarily benefits Commercial Service and Replacement business types, and Commercial Construction business types

  • Applies to all trades

Feature configuration

  • This feature is currently in Private Preview and available for specific accounts. It is subject to change.

Access Audit Trail

Access the Audit Trail from two locations:

After clicking Audit Trail, the Audit Trail drawer opens. It consists of three sections:

  • General information about the agreement

  • Filters

  • Table

General information about the agreement

Includes the following information:

  • Agreement ID: Click the ID to open the agreement on a new tab.

  • Created On: Date and time the service agreement was created.

  • Last Action On: Date and time the most recent activity was done to the agreement.

  • Last Action By: Name of the employee who performed the last action. Click the name to open their profile in a new tab. Audit trail details for HVAC maintenance agreement including agreement ID and actions taken.

Filters

Use the following filters to locate the required information and update the table accordingly:

  • Calendar: Select a date range and click Apply to view the actions within that period.

  • Username: Select an employee from the list to see the changes they made.

  • Action: Select the type of action: Added, Created, Deleted, Downloaded, Emailed, Modified, or Removed.

  • Visit: Select a visit from the list.

  • Location: Select a service location where the change occurred.

  • Field: Select the field affected by the change, such as Account Manager, Agreement Name, Agreement Status, Agreement Summary, Business Unit, Document Template, Equipment, Job Type, Labor Cost, Labor Cost / Hour, Labor Hours, Location, Material Cost, Not-to-Exceed Limit, Scheduling Notes, Service Agreement, Service Agreement Template, Service Level Agreement, Sold By, Tags, Task Summary, Total Agreement Price, Visit, Visit Name, Visit Price, or Visit Window.

Table

Includes the following information:

  • Date & Time: Date and time when the change happened.

  • Username: Name of the employee who made the change.

  • Action: The type of change that was performed, such as Added, Created, Deleted, Downloaded, Emailed, Modified, or Removed.

  • Visit/Location: The name of the visit and the location where the change took place.

  • Field: The specific area or field of the agreement affected by the change.

  • Before: The original value of the field prior to the change.

  • After: The new value of the field after the change.

Tip: Group the table results by the Date & Time column by dragging it to the bar above the table. This allows you to identify actions performed at the same time and understand related changes. For example, when one action causes several downstream effects, such as editing the Labor Cost / Hour affects the overall labor cost of the SA.

Note: When the SA is Activated, the audit trail highlights this event as a significant change, helping you identify the most impactful updates.

View recurring visits details

When an action affects multiple visits within a visit series, you can drill down to see which visits were impacted. This provides clear visibility into how changes apply across your scheduled visits.

  1. On the Audit Trail drawer, click View Event DetailsTable displaying user actions and agreement status updates over time.

  2. On the View Event Details drawer that opens, review the visits and actions taken. Event details for quarterly visits, including actions and task summaries for each visit.
