Use Manual Timekeeping in the ServiceTitan Field Mobile App

Overview

Use Flexible Timekeeping's Manual Timekeeping feature to track your time working on jobs and non-job tasks, like meal breaks. This allows the office to track timesheet events so your hours are logged accurately.

Feature configuration

  • The Field Mobile App is optimized for iOS, iPadOS, and Android phones and tablets. For more, see System requirements and mobile app information.

  • If you're using the Field Mobile App and need support, please contact (through the office) or reach out directly to support@servicetitan.com.

  • Account configuration is required to use this feature. Please contact your office for details.

  • The following permissions are required to manually enter time and edit timesheets. Please contact the account administrator on your team.

    • Allow to create manual timesheets

    • Allow to edit timesheets

Things to know

  • Turn on the Auto-set start time toggle to set your first timesheet entry to 8:00 AM, preventing accidental next-day entries. Subsequent timesheets start automatically based on the previous entry's end time. You can adjust them if needed.

  • If you need to take a meal break or do non-job related work, pause the appointment to end your timesheet then add a manual timesheet entry for your non-job work. Tap Dispatch > Arrive again when you're ready to resume work and begin tracking time again.

  • If your account is configured for it, you can include the Cost Code in your timesheet when it's tied to a project. This helps track how technician time is spent across a project and improves job costing. If a job is tied to a project and a Cost Code value is set up on the job by your administrator, a default Cost Code automatically populates in your timesheet when you create a timesheet using the same job.

Manually enter time from a job in the Field Mobile App

To add a new timesheet for a job:

  1. Open your current job and tap Time at the bottom.

  2. On the screen that opens, tap Add Timesheet at the top (iOS) or the Clock icon at the bottom (Android).

  3. Enter the Timesheet Activity, Date, Start Time, and End Time. You can also add the Duration, which automatically sets the End Time.

    Note: The Job & Appointment # field is automatically filled out, so you don't have to enter it manually. If the job is associated with a project, the Project field is also automatically filled out.

  4. When finished, tap Add Entry (iOS) or Save (Android). Form for adding a timesheet entry with fields for date, time, and project.

To return to the job details:

  • If you're on iOS, tap Cancel to return to the job details screen.

  • If you're on Android, when you tap Save the timesheet closes and you can view all timesheets associated with the job.

    • Tap Back to return to the main Timesheets screen, where you can view all timesheets. Service details for February 7, 2025, including location and time information.

    • Tap Back again to return to the Job Details screen.

Manually enter time from the navigation bar in the Field Mobile App

  1. Open the Field Mobile App and tap Time at the bottom.

  2. On the screen that opens, tap Add Timesheet at the top (iOS) or the Clock icon at the bottom (Android).

  3. Enter the Timesheet Activity, Date, Start Time, and End Time. You can also add the Duration, which automatically sets the End Time.

    Note: The Job & Appointment # and Project fields are not automatically filled out. If this timesheet needs to be associated with a job, appointment, and project, manually enter this information.

  4. When finished, tap Save.

Note: You may see additional fields, such as Job & Appointment #, Project, and Project Label. Some fields may be required, such as Labor Type. This is based on your company's setup and which Timesheet Activity you selected. If you're unsure what needs to be filled out, contact your office administrator.

Take a meal break with Manual Timekeeping in the Field Mobile App

If you're still working a job and need to do non-job related work or take a meal break:

  1. Tap Close Out > Pause Appointment User interface displaying options to manage appointments and complete tasks.

  2. Add a manual timesheet entry for your non-job work. Make sure to enter both a Start Time and End Time.

  3. When finished, go back to the job and tap Dispatch > Arrive again.

  4. Create manual timesheets for your remaining work.
