Use annotation tools in documents

Overview

Use the Annotation Manager tool to add markups, highlight changes, and take measurements in the Documents section. This helps you efficiently review technical drawings, highlight changes, and track file versions.


Who uses this feature

  • Project managers, project coordinators, and project teams

  • Primarily for Residential Construction and Commercial Construction business types

Feature configuration

  • This feature is currently in Early Access and available for specific accounts. To update your account, please contact Technical Support for details.

Things to know

  • The Annotations Manager tool is only available in ServiceTitan.

  • Image and PDF files are available for annotations. PDF Forms and CAD drawings aren't supported.

  • Version history is available to view a historical log of all changes to a file.

  • When uploading files, keep in mind:        

    • Maximum file size: 250 MB per file

    • Total upload limit: 1 TB per batch

    • Number of files: Unlimited

  • You can upload the following file types: .avi, .jpg, .jpeg, .gif, .png, .webp, .3gp, .rup, .dng, .heic, .heif, .tif, .tiff, .jfif, .pdf, .mov, .mp4, .doc, .xls, .docx, .xlsx, .ppt, .pptx, .mp3, .htm, .html, .vcf, .txt, .xml, .csv, .smil, .msg, .eml, .mhtml, .dwg, .dxf, .ifc, .rvt, .nwd, and .sdr.

Access the Annotation Manager tool

  1. Find and open a project, then go to the Documents, Forms, Media & Attachments section. For more about this section, see Manage project media files and forms.

  2. There are two options to access the Annotation Manager tool.        

    1. Option 1: In the Documents, Forms, Media & Attachments section, click a file to open. Overview of recent documents and media attachments in a digital workspace interface.

    2. Option 2: In the Documents, Forms, Media & Attachments section:
      a. Click View all Documents and Folders.
      b. In the Project Documents section that opens, click the uploaded file to open it.                

      Note: You can annotate existing files or upload new files.

Use the Annotation Manager tool

After opening a file, click Manage Annotations.

On the Annotations screen that opens, you can:

View the file

To customize your view, go to the View tab. There, you can:

  • Zoom in or out of the document

  • Pan across (click and drag) the document

  • Adjust the layout or orientation

  • Download, print, rotate, or navigate between pages

Annotate the file

Use the Annotate tab to:

  • Highlight sections of the file, for example, a door within a schematic

  • Customize colors, such as the background or font

  • Add notes on the file

  • Style markups, including how thick lines are and colors

Draw shapes

Use the Shapes tab to add shapes such as rectangles, lines, arrows, and freehand shapes. Use the color palette to change the colors.

Take measurements

In the Measure tab, you can:

  • Measure lengths, angles, and dimensions.

  • Set custom scales and precision by clicking Add New Scale to access the tool Blueprint interface showing measurement tools and scale options for architectural design.

Manage file versions

You can create multiple versions of a file without losing the original version.

  • Each saved version is automatically tagged with the date, time, and the office employee who saved it.

  • The most recent save becomes the Current Version.
