Overview

Set up GPS Timekeeping Integration to detect timesheet discrepancies, configure thresholds, and manage employee permissions for viewing and resolving issues. You can set thresholds for when discrepancies are flagged, track mileage directly in timesheets to keep records accurate, and manage employee permissions for viewing and resolving issues.

  • This feature is only available with Fleet Pro.

  • Account configuration is required to use this feature. Please contact Technical Support for details.

GPS Timekeeping Integration settings

  1. Go to the top toolbar and click SettingsA simple icon representing a settings gear.

  2. In the side panel, click People > Payroll.

  3. On the Payroll Settings screen that opens, go to the Time Settings section and click Edit next to GPS Timekeeping Integration.

  4. On the GPS Timekeeping Integration screen, you can configure the following settings:

    1. Enable GPS timesheet discrepancy detection:  Use the toggle to enable or disable the GPS Timekeeping feature. 

    2. Duration: checks for total time differences. This is set to 5 minutes by default. 

      1. Example: If the timesheet shows 1 hour of driving but GPS shows 45 minutes, the total time differs by 15 minutes. With a 5-minute threshold set, this difference will be flagged.

    3. Timestamp: checks if the start and end times match.

      1. Example: If the timesheet says driving is 8:00–9:00 AM but GPS shows 8:30–9:30 AM, it’s flagged because the start and end times don’t match, even though both show 1 hour.

        Note: You can’t set Duration or Timestamp to less than 2 minutes.

  5. On the GPS Mileage Tracking section, you can configure:

    1. Enable GPS Mileage Tracking: Use the toggle to turn mileage logging on or off for timesheet activities related to travel.

      Note: Total miles are calculated based on the distance between the start and end times of the activity.

  6. When finished, click Save.

GPS Timekeeping Integration permissions

Note: Administrators have GPS Timekeeping permissions enabled by default.

You can configure GPS Timekeeping Integration permissions for an entire role or for individual employees. The permissions are:

  • View edit the Gps Timekeeping Integration Settings: Give access to toggle GPS Timekeeping  on or off and customize configurations.

  • View Map On Timesheet Edit Page: Controls whether employees can see the  map view toggle while editing timesheets.

  • View Resolve Gps Timesheet Discrepancies: Allows the employee to view, dismiss, or resolve GPS timesheet discrepancies.

When GPS Mileage tracking is enabled:

  • Can modify mileage on timesheets: Allows the employee to update mileage on timesheets

    Note: GPS mileage tracking is only available with Flexible Timekeeping.
