Where should I install the ServiceTitan Web Connector?

Install the web connector on the same computer used to access QuickBooks today. If your QuickBooks data is stored on a server and you run QuickBooks from your own workstation, install the web connector on your specific workstation. If you use software that allows you to remotely access another computer to run QuickBooks, install the web connector on the computer that you're remotely accessing.

What ServiceTitan server do I use to add a connection to the Web Connector?

When adding a connection to the ServiceTitan Web Connector tool, enter https://go.servicetitan.com in the ServiceTitan server field.

How can I turn on the ServiceTitan Web Connector?

Contact your customer success manager to learn more about enabling the ServiceTitan Web Connector.

How long does it take to upgrade to the ServiceTitan Web Connector?

We expect the installation and configuration to be about 30 minutes. Reviewing the reconciliation Excel files can take more time depending on the size of your customer, pricebook, and vendor lists and how many are easily matched. Therefore, it could take up to an hour to complete the review process. We encourage you to find the appropriate time for this review, so mapping between ServiceTitan and QuickBooks covers the majority of your active lists.

Should I disable auto-run on the old web connector while I am upgrading to the ServiceTitan Web Connector?

Yes, turn off auto-run with the old web connector, so it doesn't prevent ServiceTitan Web Connector from connecting to QuickBooks during the setup process. When you complete the setup for the ServiceTitan Web Connector and begin exporting to QuickBooks, the old connector will no longer work.

Can I run and download a report that shows the batches that I exported with the ServiceTitan Web Connector?

Yes. In custom reports, you can run the Sync Session Report, which shows you all transactions that were exported to QuickBooks. In the report, you can filter the Memo column by the batch number to see one batch at a time. If you decide to schedule and email the report, filter by the batch number in Excel.

Do exported transactions reflect only in the GL Account or on items as well?

Map Chart of Accounts during setup to define the GL Account relationships between ServiceTitan and QuickBooks. All pricebook items you plan to use on transactions must have the appropriate GL Accounts assigned to them when you export.

Are invoices exported to customers or customer:jobs?

During setup, you can choose to send transactions to customers or customer:jobs. It's important that you don't toggle this option after you begin exporting or if you have exported differently in the past. Run the customer reconciliation once you make a selection since customer:jobs will be included if you choose to export this way.

Can you run the reconciliation tool multiple times?

Yes, and any changes made in ServiceTitan and QuickBooks to customers, pricebook items, and vendors will be used the next time you run one of the reconciliation tools. Any previously matched records appear in the Synced Pairs tab of the Reconciliation Excel file.

If I make updates to any information after matches are made in the Reconciliation Excel file, do I need to run the reconciliation again to update my account with the new information?

No. Any ServiceTitan edits made to previously matched customers, items, or vendors are automatically updated when exported to QuickBooks. Additionally, these changes will be reflected in the Synced Pairs Excel sheet of the reconciliation files.

How can I edit an exported invoice?

As part of the batch, post, and export process, we suggest you review all transactions before you export to QuickBooks. If edits are required after the export, you can create an adjustment invoice in ServiceTitan, which can be exported and automatically applied to the original transaction in QuickBooks. Any changes beyond this require edits in QuickBooks as we continue to explore new ways to automate this.

Can I edit GL Account names in ServiceTitan to match the GL Account names in QuickBooks?

Yes. If you already have GL Accounts in ServiceTitan, go to General Ledger Accounts in Settings to edit the names. If you don't see this option in Settings, import your QuickBooks Chart of Accounts during the ServiceTitan Web Connector setup.

Why would I need to deactivate an item in QuickBooks or ServiceTitan?

In certain circumstances, QuickBooks limits the ability to change the item type. Therefore, you need to deactivate an item in QuickBooks so that the accounting activity is accurately reflected. Some common examples include

  • A service item in ServiceTitan has the same name as an inventory or non-inventory part in QuickBooks

  • A material or equipment item that is flagged as inventory in ServiceTitan and has the same name as a service item or non-inventory part in QuickBooks

Can I export technician timesheets to QuickBooks?

Currently, the web connector does not export technician timesheets. We are exploring the possibility of exporting technician timesheet information from ServiceTitan to QuickBooks.

Do partial payments export to QuickBooks?

Yes.

How do I fix an invalid token error in QuickBooks connector?

An invalid token error happens when incorrect tenant information is entered in the connector setup. Clear any existing information on the tenant field and enter your unique tenant name. Retry the connection and verify if the connection is successful. If you are still experiencing the error, contact Technical Support.

Note: Make sure you only use your tenant/company name with no spaces. Do not use your tenant ID number.
