Manage estimates in ServiceTitan

Overview

After you create and add your estimates in ServiceTitan, manage estimates and estimate notes to customize your workflow based on your business. Explore how to seamlessly email and duplicate them to streamline operations and drive productivity.

Export an estimate

If you create an estimate with 100 items or more, we recommend you export the estimate to an XLSX template. This helps you save time because you can make bulk updates to the estimates and import them back to ServiceTitan. To export an estimate template:

  1. Using Search, find and open the estimate you want to export.

  2. In the Costing tab, click on the Actions dropdown.

  3. Select Export as TemplateMenu options for exporting a template and viewing cost details in a financial application.

    1. An XLSX version of your estimate downloads to your device. Also, you can export the item list as a .CSV file.

  4. Make changes as needed.        

    Tip: To remove an existing item, enter 0 in the Active field for that item. To edit an existing item on the estimate, the item must have an ID assigned from ServiceTitan in the ID column of the XLSX template.

  5. From the Actions dropdown, select Import from Template.

  6. Select the updated estimate XLSX file from your device and upload it.

Email an estimate

To email an estimate to your customer:

  1. Click Email .

  2. In the Email Estimate form that opens, complete the form. Email estimate showing HVAC replacement details and total costs for the client.

  3. In the Email all estimates at once section, you can see the list of estimates in an opportunity and select specific estimates to email customers.        

    Note: The estimate that the Email screen is opening from is selected by default.

  4. Click Attach Files to attach documents and media to estimates.

  5. When finished, click SendEmailing estimates for HVAC replacement with attached files and options to include PDFs.

Duplicate an estimate

To duplicate an estimate:

  1. From the Estimate page, click Duplicate .

  2. From the verification pop-up message, click Yes to confirm.

On the Estimate page, you can also create new estimate items. For more information, see Sell estimates in ServiceTitan.

Manage estimate notes

You can add internal notes to your estimates to keep track of important information about the estimate. Additionally, you can pin notes to the top.

  1. On the Estimates screen, click Notes.

  2. Enter your notes.

  3. Click SaveEstimate details including service and billing locations, with notes section highlighted.        

    Note: These are internal notes and won't be sent to the customers. Technician can also view or add notes to estimates.


FAQ

Why can't I see estimates created by other employees?

If you can't see estimates created by other employees, the Estimate Restriction feature is likely enabled, and your role may not have the required permission to view other users' estimates.

Note: The permission is disabled by default for every role.

When the Allow Estimates visibility permission is disabled for your role:

  • You can only see and interact with estimates that you created.

  • You won't see other users' estimates or opportunities.

  • If another user has already created an estimate under a job:        

    • The Add Estimate button will be inactive.

    • Hovering over the button displays a tooltip: "You cannot add an estimate to this job because estimates have already been created."

If you believe you should have access, contact your Administrator to review your role permissions and confirm that Allow Estimates Visibility is enabled.
