Manage and view technician teams

Overview

Technician teams help you organize your technicians by the work they perform. Use the Teams Management screen to create, rename, and deactivate technician teams.


Who uses this feature

  • Administrators

  • Primarily for Residential Service and Replacement business types

  • Applies to all trades

Feature configuration

  • The Edit teams permission is required to use this feature. Please contact the account administrator on your team.

Things to know

  • By default, only Admin and Owner roles can use Teams Management. Other office roles can view Teams Management but aren't able to make changes. If you want to allow other employees to use Teams Management, enable the Edit teams permission in Settings> People > Role Permissions > Edit. For more, see Set permissions for an employee or technician role.

    Note: Make sure only the employees you want to have access to this feature have the permission enabled. You can also use the audit trail to check what changes were made.

  • Any time you make and save changes in Teams Management, click Syncon the Dispatch Board to refresh it and see the updates.

Use cases

  • You have a new department in your company and want to divide your technicians up into the new department. Create a team to group all those technicians together on the Dispatch Board.

Open Teams Management

  1. Go to the top toolbar and click Settings.

  2. In the side panel, go to Dispatch Board > Teams Management.

Note: When Teams Management is enabled, you can only create teams on the Teams Management screen. You can assign technicians to teams in Teams Management and also in technician profiles. The tooltip in technician profiles tells you where to go to create and edit teams.

Create a new team

  1. On the Active teams tab in Teams Management, click Create a Team.

  2. In the pop-up that opens, enter a Team Name and then click the Select a Technician dropdown under Technicians.

  3. In the dropdown that opens, search for and select the technicians you want to add to the new team.

    Note: Technicians already assigned to a team have a team name next to their name. If you select a technician who is already assigned to a team, they'll be moved to the new team you're creating.

  4. Click outside the dropdown and within the Create a Team pop-up to close the dropdown, then click Create. The new team is now displayed in the Active teams tab in Teams Management.

  5. Click Save to save your changes.

Rename a team

  1. On the Active teams tab in Teams Management, go to the Team Name column and click Edit next to the team you want to rename.

  2. Enter the new team name and then click Check.

  3. Click Save to save your changes.

Deactivate a team

  1. On the Active teams tab in Teams Management, click the Active dropdown next to the team you want to deactivate.

  2. In the dropdown that opens, select Deactivated.A cursor deactivating a team in ServiceTitan.

  3. A pop-up opens asking you to confirm that you want to deactivate the selected team. Click Confirm.A cursor confirming team deactivation in ServiceTitan.        

    Note: When you deactivate a team, its assigned technicians are moved to the No team assigned section of the Dispatch Board and Teams Management. The deactivated team is moved to the Deactivated teams tab in Teams Management. If you reactivate a deactivated team, you'll need to re-add technicians to it.

  4. Click Save to save your changes.      

    Tip: You can also make bulk changes. Select the teams you want to deactivate as a group, click More, and then click Deactivate teams.

View technician teams on the Dispatch Board

  1. Go to the navigation bar and click Dispatch.

  2. On the Dispatch Board, technician teams are listed on the left.Technician teams on the ServiceTitan Dispatch board.

Filter the Dispatch Board by teams

Note: If technicians aren't assigned to teams, they'll always appear on the Dispatch Board, no matter which filters you select.

  1. Go to the navigation bar and click Dispatch.

  2. At the top of the Dispatch Board, click Filter.

  3. Click the Teams dropdown, then select which technician teams you want to see on the Dispatch Board.

  4. When finished, click the Teams dropdown again to close the selection box, then click Apply.A cursor filtering the ServiceTitan Dispatch Board by teams.        

    Tip: If you prefer to keep all teams on the Dispatch Board, but you only want to see the technicians and appointments for a specific team, you can collapse teams instead of filtering them. Click Collapsenext to the team name to collapse it. Click Expandto reopen it.
