Overview

Initiate a requisition from a sold estimate to procure job items. Select required items directly from the estimate. This automation streamlines procurement, saving time and reducing errors.

Things to know

  • To requisition items from an estimate, add tasks, materials, and equipment to your estimate as line items.

  • When you initiate a requisition, ServiceTitan recommends the procurement source and ship-to location to help you use your existing inventory on hand before you contact your vendors.

  • If you're using the Inventory Module, ServiceTitan first checks your existing stock in the requisition warehouse. If items you need are not in stock, ServiceTitan selects your primary vendor as the procurement source.

  • If you're using the Purchasing Module, ServiceTitan automatically selects the primary vendor as the default procurement source for each item.

  • You need certain employee permissions to use the requisition workflow. Contact your administrator to ensure you have the following permissions enabled:

  • When you book an estimate for a job, the corresponding items are automatically transferred to the invoice. If you delete these items from the invoice, a pop-up will prompt you to confirm whether the work will still be performed later. If you select No, the system marks these items on the estimate as Not Required. If the items are marked as Not Required, you can't create a requisition for them. To create a requisition, do the following:

    • Delete the materials from the estimate

    • Re-add the materials to the estimate
      You can now create a requisition for the re-added materials.

Initiate requisition from a sold estimate

Note: You can't create a requisition for items on the sold estimate that were previously added to a job invoice. This helps prevent you from creating a requisition for items that were already used.

  1. Search for and open the estimate for which you want to initiate the requisition.

    Note: If the estimate isn't sold, sell the open estimate to begin the requisition.

  2. Click Initiate Requisition.A cursor clicking Initiate Requisition.

  3. Select or deselect the items you want to requisition.A cursor selecting items to requisition.

  4. When finished, click Confirm Requisition.

  5. On the Requisition Warehouse Selection pop-up that opens, from the Select Warehouse dropdown, select the warehouse where you want the items to be requisitioned.

  6. When finished, click Confirm.

  7. On the Requisition details screen that opens, select the items you want to requisition.A cursor selecting items on the Requisition details screen.

    Note: Select the box at the top of the line item table to bulk-select all items for the requisition.

  8. Enter requisition details:

    1. From the Job # dropdown, select the job for which the items are used.

    2. (Optional) In the Project Labels field, edit the project labels automatically applied to the requisition items from either Estimate items or Pricebook SKUs.

      Tip: Click Add Another Label to add more than one label. Click Deleteto remove the label you want.

    3. In the Quantity requested field, confirm or edit the quantity for the job for which you're requisitioning this item.

    4. From the Procurement Source dropdown, select the procurement source of an item.

      Tip: Click Truck, Warehouses, Mobile Storages, or Vendors to select the procurement source from the relevant list.

    5. From the PO Ship to dropdown, select the location where the items you're requisitioning will be delivered. For example, you can ship items to a customer location, vendor, or warehouse.

      Tip: If you're shipping all the items in your requisition to the same location, you can select all the items, click the PO Ship To dropdown at the top of the screen, and select the location.

  9. When finished, click Save and Confirm.

After the requisition is created, ServiceTitan creates a purchase order (PO), which you can send to your vendor. The POs appear in the Transactions tab in the requisition.

The Requisition record screen opens.

  1. Click the Transaction tab and click the PO number to open it.

  2. On the PO record screen that opens in a new tab, from the Send As dropdown, select Mark as Sent.A cursor selecting Mark as Sent from the Actions dropdown list.The POs status is set to Sent.

  3. Click Receive to receive the PO.A cursor selecting the Receive button.

  4. On the Receive a Shipment screen that opens, enter the vendor number, then click Save.

ServiceTitan creates the recipient with the attached PO and automatically performs the invoice closeout action.

The PO is set to Received status, and the transaction is Completed.
