Configure Continuous Timekeeping for the ServiceTitan Field Mobile App

Overview

Continuous Timekeeping builds upon the Dispatch, Arrive, and Close Out functionalities from Automatic Timekeeping by introducing additional activities you can map to mobile actions. This ensures every step a technician takes is accurately recorded.

To get started with Continuous Timekeeping, turn it on in your ServiceTitan Settings.

Things to know

  • Flexible Timekeeping is required to use Continuous Timekeeping.

  • To use Continuous Timekeeping, make sure it and Automatic Timekeeping are enabled in your settings. For more, see Configure Automatic Timekeeping for the ServiceTitan Field Mobile App.

  • If your company uses Crew Management with Continuous Timekeeping, all technicians on an appointment must have Continuous Timekeeping enabled in their profile before a lead technician can use bulk actions to create timesheets for them and close them out.

  • If you update your Continuous Timekeeping configuration, such as changing assigned roles, make sure to update your activity mappings to match the new setup.

  • Timesheet Activities for all quick actions—Dispatch, Arrive, Meal Break, Review, and Waiting on Next Job—must be available for technicians to use Continuous Timekeeping. If you want to configure additional, custom timesheet activities for things like Holiday, Jury Duty, or Bereavement, see Create timesheet activities.

Configure Continuous Timekeeping in Payroll Settings

To connect technicians to Continuous Timekeeping:

  1. Go to the top toolbar and click Settings .

  2. In the side panel, go to People > Payroll.

  3. On the Payroll Settings screen that opens, go to the Time Settings section and click Edit next to Continuous Timekeeping SettingsSettings for overtime, GPS integration, and continuous timekeeping with edit options.

  4. On the Continuous Timekeeping Settings screen that opens, click Edit next to Continuous timekeeping optionsConfiguration options for continuous timekeeping for technicians, including selection and roles.

You have three options to choose from, depending on how you want your team to track their time:

  • Connect all: Enables Continuous Timekeeping for all technicians. You can manage individual settings through their profile in Settings > People > Technicians > Edit > Payroll.

  • Connect some: Enables Continuous Timekeeping for selected roles. Technicians not included in the selected roles will continue tracking their time manually, separate from mobile action buttons. Choose technician roles to include from the dropdown. Configuration options for continuous timekeeping for technicians with role selection.

  • Do not connect: Disables Continuous Timekeeping for all technicians. Technicians need to manually track their time, regardless of the actions they perform in the mobile app.

    Tip: This option is not recommended for most contractors.

Turn on Continuous Timekeeping for individual technicians

To connect individual technicians to Continuous Timekeeping:

  1. Go to the top toolbar and click Settings .

  2. In the side panel, go to People > Technicians.

  3. Click Edit next to the technician you want to connect to Continuous Timekeeping.

  4. On the Edit Technician screen that opens, click the Payroll tab.

  5. Select Connect Technician To Continuous Timekeeping for the technician. Checkbox for connecting technician to continuous timekeeping with explanatory text below.

    Note: The toggle remains greyed out and can't be enabled until you map timesheet activities to mobile actions.

Map timesheet activities to mobile actions

After Continuous Timekeeping is configured, map timesheet activities to the mobile actions technicians perform. Each mobile action must have at least one mapped timesheet activity. This ensures the correct timesheet entry is created when a technician selects an action in the ServiceTitan Field Mobile App.

Tip: If needed, you can map multiple activities to a mobile action for more granularity. For example, you can create and map Commute and Travel activities to the Dispatch action.

To map timesheet activities to mobile actions:

  1. In the side panel, go to People > Payroll.

  2. On the Payroll Settings screen that opens, go to the Time Settings section and click Edit next to Continuous Timekeeping Settings.

  3. On the Continuous Timekeeping Settings screen that opens, click Edit next to Mobile action mappingMapping mobile actions to timesheet activities for technicians' workflow management.

  4. On the Mobile action mapping screen that opens, map the five mobile actions:

    • Dispatch: When technicians tap Dispatch, a timesheet entry is automatically created.

      Tip: The recommended Timesheet Activity to map is Driving.

    • Arrive: When technicians tap Arrive, a timesheet entry is automatically created.

      Tip: The recommended Timesheet Activity to map is Working or Onsite.

    • Meal Break: When technicians tap Meal Break, a timesheet entry is automatically created. This can only be mapped to timesheet activities under the Meal category.

      Tip: The recommended Timesheet Activity to map is Meal.

    • Review: When technicians tap Review, this logs time spent reviewing schedules or navigating the Field Mobile App.

    • Waiting on Next Job: When technicians tap Waiting on Next Job, this logs time when they're waiting for their next assignment.

  5. For each mobile action, click the Timesheet Activity dropdown and enter or choose the timesheet activity or activities to map. Mapping mobile actions to timesheet activities for technicians using the Arrive app.

    Note: Mapping Status Per Role shows a red X if a mapped activity is not visible to the assigned role. When this happens, choose a different timesheet activity that is visible to the role or update the activity's Visibility settings to include the role. The selected activity must be available to all roles connected to Continuous Timekeeping.

  6. When finished, click Save and Exit.

    Tip: If you want to configure additional, custom timesheet activities for things like Holiday, Jury Duty, or Bereavement, see Create timesheet activities.

Mapping examples

Dispatch

  • Single Activity: Dispatch starts a Driving entry automatically.

  • Multiple Activities: Technicians choose between multiple activities, such as Commute and Travel, after tapping Dispatch.

Arrive

  • Single Activity: Arrive starts an Onsite entry automatically.

  • Multiple Activities: Technicians choose between multiple activities, such as Onsite - Maintenance, Onsite - Repair, and Onsite - Repair - After Hours.

Meal Break

  • Single Activity: Meal Break starts a Meal entry automatically.

  • Multiple Activities: Technicians choose between multiple activities, such as Lunch Break, Dinner Break, and Unscheduled Meal Break.

Review Schedule

  • Single Activity: Review Schedule starts a Review Schedule entry automatically.

  • Multiple Activities: Technicians choose between multiple activities, such as Review Schedule for Next Day, Review Schedule for Today, and Review Job Prior to Arrival.

Waiting on Next Job

  • Single Activity: Waiting on Next Job starts a Waiting entry automatically.

  • Multiple Activities: Technicians choose between multiple activities, such as Waiting on Customer, Waiting on Dispatcher, and Waiting on Appointment Time.
