Manage crews with Continuous Timekeeping in the ServiceTitan Field Mobile App

Overview

A crew is all the technicians on an appointment working under a lead technician. As the lead technician, you can manage your crew with Continuous Timekeeping through expanded bulk actions, like Dispatch, Arrive, Start Meal Break, and Close Out. You can assign different activities to different technicians within the same action, ensuring accurate tracking based on individual roles, locations, or schedules.

  • The Field Mobile App is optimized for iOS, iPadOS, and Android phones and tablets. For more, see System requirements and mobile app information.

  • If you're using the Field Mobile App and need support, please contact (through the office) or reach out directly to support@servicetitan.com.

  • Account configuration and office setup is required to use this feature. Please contact your office for details.

  • The following permissions are required to manage other technicians' timesheets. Please contact the account administrator on your team.

    • Lead technician actions

    • Manage timesheets for technicians on my jobs OR View & Manage Other Technicians Timesheets

    • Edit timesheets for other technicians

Things to know

  • If a technician does not have Continuous Timekeeping enabled by the office, bulk actions will not create timesheets for them. A message appears when switching their activity.

  • All technicians on the appointment must have Continuous Timekeeping enabled by the office before you can close them out.

  • If your company uses multiple activity mapping, each bulk action may have several mapped timesheet activities. This allows you to assign different activities to different technicians. When you perform a bulk action:

    • Just like with Manual Timekeeping, you can view and filter your crew's timesheets.

    • If all selected technicians have ongoing timesheets that are complete with all required fields, new timesheets are created immediately based on the selected activity.

    • If any of the ongoing timesheets have missing required fields, a synchronized Edit Timesheet Entry screen opens. Complete the required fields for those technicians before new timesheets can be created. After editing, tap Save and Switch to continue with the new activity. Warning message to fill required fields before editing timesheet entry.

Dispatch, Arrive, and Start Meal Break for your crew with Continuous Timekeeping in the Field Mobile App

  1. Open the job and tap Manage Crew in the Assigned Technicians section of the Job tab. Scheduled cooling tune-up job details with assigned technicians and management options.

  2. On the Manage Crew screen that opens, select the technicians who need to be marked Dispatched, Arrived, or Starting Meal Break, including yourself if you're taking the same action.

    Tip: Tap Select all if the same action applies to everyone.

  3. Tap the bulk action you want to perform: Dispatch, Arrive, or Start Meal BreakCrew management interface showing team members and options for meal breaks and task completion.

  4. If multiple activities are available, select the appropriate one for each group of technicians. User interface showing options for arriving, including 'Onsite' and 'Shop Time'.

    Note: The available activities depend on your company's setup.

Close Out your crew with Continuous Timekeeping in the Field Mobile App

Follow the steps in the Close Out your crew section of Manage crew job actions with Flexible Timekeeping in the ServiceTitan Field Mobile App to complete the close-out process.

With Continuous Timekeeping, when you mark technicians—including yourself—as Done or Paused, choose one of the following:

  • Stay on the Clock: Tap this for technicians who continue working. A Review Schedule timesheet activity is created to keep their time continuous.

  • Clock Out: Tap this for technicians who have completed work for the day. No new timesheet is created, and their current timesheet ends. Options for crew members to stay on the clock or clock out after work.
