Quick Start Guide — Project Management

Step 1: Choose Core or Phase project management — Review the Overview of project management setups and workflows to pick the setup and workflow best suited for your business. If you aren't sure, start with Core to avoid uncategorized transactions on the Budget vs Actual table.

Step 2: Create project labels — Go to Settings > Operations > Project Settings and click Add Label. Enter a name and select a color. Repeat until all labels are created.

Step 3: Set up pricebook items — Go to Pricebook and ensure items are set up per the line item or rough item estimate approach. For line item estimates, add relevant services, materials, and equipment. For rough estimates, create generic summary items and apply appropriate project label defaults.

Step 4 (Phased Project Management only): Create job types — Go to Settings > Operations > Job Types and click Add. Create a job type for each project phase, assign the project label, and repeat until all job types are created.

Step 5: Set up payroll information — Go to Settings > People > Technicians, click Edit for each technician, and enter relevant payroll information such as pay rate and labor burden.

What is the process for turning on progress billing and similar features in my ServiceTitan account?

Progress billing and related features must be enabled by your Customer Success Manager or Pro Account Manager. Reach out to them directly to have these features turned on for your account.

Why does my project not appear in the Work in Progress - Percentage of Completion report?

A project will not appear in the WIP - Percentage of Completion report if it does not have a budget set. Make sure the project has a budget entered in the Budget vs Actual table. Projects without a budget are excluded from this report.

Why does my completed project show 150% actuals on the Budget vs Actual table?

This typically indicates a double costing issue. This can happen when chargeable materials are used, when a job is booked from a sold estimate, or when progress billing is combined with Applications for Payment. Review the double costing guides in the Key Workflows section to identify and resolve the source of the discrepancy.

Why are some of my labor hours showing under Labor and some showing under Rough In > Labor?

Labor hours are categorized based on the project label assigned to the job type. Hours from jobs without a project label assigned to their job type will fall under the general Labor category. Hours from jobs with a project label (e.g., Rough In) will appear under that label. Review your job type settings and ensure each phase has the appropriate project label assigned.

I have project management enabled but I don't see the Projects tab for Project Portfolio in my account. How do I enable Project Portfolio?

Project Portfolio is a separate feature from project management and must be enabled independently. Contact your Customer Success Manager to have Project Portfolio turned on for your account.
