Overview

In ServiceTitan, journal entries are records of financial transactions that track the movement of money within your business. These entries are used to document and organize various transactions such as sales, expenses, and payroll.  By using journal entries, you can integrate and manage your accounts receivable, accounts payable, inventory, and more, to your accounting platform.

The Journal Entries screen lets you view the journal entries generated as transactions in ServiceTitan are created and posted.

Feature configuration

  • Account configuration is required to use this feature. Please contact Technical Support for details.

  • The View journal entry landing page is required to use this feature. Please contact the account administrator on your team.

Things to know

  • To view the Journal Entries screen, you need to have the View journal entry landing page permission enabled.

  • Make sure all your General Ledger Accounts are set up and properly assigned in ServiceTitan to avoid Journal Entry errors.

  • If you’re not sure how to best import a ServiceTitan Journal Entry into your accounting software, please reach out to the software’s technical support for assistance.

  • If you use the Journal Entry accounting integration, you can view the individual and total costs of items on Inventory Adjustments by enabling the View Adjustment $ Value permission. This feature provides valuable insights into the costs associated with each Inventory Adjustment and allows you to make informed decisions while managing your inventory.

  • You can restrict access to the individual and total costs of items on adjustments.

  • Manually updating the average cost within the Pricebook is restricted. This guarantees that ServiceTitan  accurately calculates and maintains cost information.

Journal Entry top line

Regardless of what tab you’re on, when you open any Journal Entry you’ll see:

  • Journal Entry number (#): The unique ID automatically generated for each JE. 

  • Memo: A descriptor of the JE. If the batch wasn’t manually named, this will be auto generated based on what transactions are in the JE. 

  • Journal Entry status tag: Shows if the JE is Open or Closed.

  • Journal Entry export status tag: Shows if the JE is Not Exported or Exported

  • Exported By: Shows which employee exported the JE.

  • Exported On: Shows the date that the JE was exported.

  • Actions Dropdown: Allows you to export, open, or close a JE.

Summary tab

The Summary tab allows you to see a quick overview of the Journal Entry’s effect on your financials. Here you’ll only see General Ledger accounts instead of individual transactions. It displays the following columns:

  • GL #: The number of the General Ledger account affected by the JE’s transactions.

  • Post Date: The date the transaction was posted in ServiceTitan.

  • GL Account: The name of the General Ledger account affected by the JE’s transactions. 

  • Debit: The amount in dollars that will Increase an asset or expense account or decrease a liability or equity account.

  • Credit: The amount in dollars that will Increase a liability or equity account or decrease an asset or expense account.

  • Business Unit: The Business Unit affected by the credit or debit.

Details tab

The Details tab allows you to see a more in-depth breakdown of the Journal Entry’s effect on your financials. Here you’ll see each transaction as well as their corresponding General Ledger accounts. It displays the following columns:

  • Transaction Type: Shows if the transaction is an Invoice, Payment, Bill, Vendor Payment, Vendor Credit / Vendor Return, or Inventory Adjustment.  

  • Transaction #: A unique ID assigned to the transaction, such as an Invoice or Bill number.

  • Item Code: Pricebook code for an item used in a transaction. 

  • Post Date: Date the transaction was posted on. 

  • GL #: The number of the General Ledger account assigned to the transaction.

  • GL Account: The name of the General Ledger account assigned to the transaction. 

  • Debit: The amount in dollars that will Increase an asset or expense account or decrease a liability or equity account.

  • Credit: The amount in dollars that will Increase a liability or equity account or decrease an asset or expense account.

  • Business Unit: The Business Unit assigned to the line item.

  • Memo: A description of the transaction.

  • Customer: The name of the customer assigned to the transaction. 

  • Vendor: The name of the vendor assigned to the transaction. 

  • Inventory Location: The name of the ServiceTitan inventory location.

  • Job: The job number assigned to the transaction. 

  • Customer Location: The customer location assigned to the transaction. 

  • JE URL: URL for supporting Journal Entry

Transactions tab

The Transactions tab allows you to see a quick overview of the Journal Entry’s effect on your financials. Here you’ll only see individual transactions instead of General Ledger accounts. It displays the following columns:

  • Transaction Type: Shows if the transaction is an Invoice, Payment, Bill, Vendor Payment, Vendor Credit / Vendor Return, or Inventory Adjustment.  

  • Date: The date assigned to the transaction.

  • Transaction #: A unique ID assigned to the transaction, such as an Invoice or Bill number.

  • Job #: The job number assigned to the transaction. 

  • Project #: The project number assigned to the transaction.

  • Customer, Vendor, or Warehouse: The name of the customer, vendor, or warehouse assigned to the transaction.

  • Total: The total amount in dollars of the transaction. 

  • Business Unit: The Business Unit assigned to the transaction.

  • Memo: A description of the transaction that was manually added.

Search Journal Entries

  1. Go to the navigation bar and click Accounting .

  2. In the side menu, click Journal Entries.

  3. Select a search filter from the search dropdown:

    1. Transaction #

    2. Customer Name

    3. Customer Location Name

    4. Inventory Location Name

      Note: The search dropdown will default to the option you last selected if you leave and return to this screen.

  4. Use the search bar. A list of Journal Entries appears. 

Filter Journal Entries

  1. Go to the navigation bar and click Accounting .

  2. In the side menu, click Journal Entries.

  4. Make selections for one or more fields:

    1. Date

    2. JE #

    3. Transaction Type

    4. Exported By

    5. Business Unit

    6. Last Exported Date

    7. Status

    8. Sync Status

      Note: Sync Status is only available if you are using Touchless Integration.

  5. Click Apply. A list of Journal Entries appears.
