Overview

Use barcode scanning in the Inventory Mobile app to quickly identify and track items during key inventory transactions. Scan barcodes to add them to Pricebook items, receive purchase orders, complete picklists, and conduct inventory counts.

Things to know

  • To scan an item during transactions such as receiving purchase orders, completing picklists, or conducting counts, the item's barcode should be assigned to the item in Pricebook first. To do this, you can either select the item from Pricebook or scan its barcode to add it to Pricebook. Once the barcode is assigned to the item in Pricebook, it can be scanned during transactions.

  • Serialized scanning can also be used when using barcode scanning for POs and transfers. For more, see the Receive a serialized item in Receive purchase orders in the inventory mobile app and the Pick a serialized item section in Manage inventory mobile transfers.

Adding barcodes to Pricebook items

To add a barcode to pricebook items, you can do one of the following:

  • Browse pricebook items and add a barcode to the item

  • Scan a barcode and apply it to the corresponding item

Browse pricebook items

  1. From the navigation bar, tap More.

  2. On the More screen that opens, tap Add Barcodes to Pricebook.A cursor tapping Add Barcodes to Pricebook on the More screen.

  4. From the list of available pricebook items, select the item to which you want to add a barcode.  

    Tip: Use the Search field to find a specific item by name, code, or part number. Use the pre-made filters to search for a specific item by No Barcode, Vendor, or Item Type. To apply a filter, from the filter dropdown, select the filter type you want and tap Apply. To remove the filter, click Reset.

  5. To add a barcode, you can do one of the following:

    1. Tap Details to see detailed information about the item, then tap Add Barcode to Pricebook.

      Tip: In the top right corner you can see how many barcodes are assigned to that item.

    2. Tap Add Barcode.

      Note: If you assign a barcode that is already assigned to any pricebook item, the system notifies you that the barcode is already assigned.

The barcode is successfully added to the pricebook item.

Scan a barcode

  1. On the Add Barcodes to Pricebook screen, tap Scan Barcode.

  2. Scan the barcode. The Barcode Already Assigned pop-up opens.

  3. If you want to reassign the barcode to another item tap Yes, if not tap No.

    Note: If the item with that specific barcode is used for any transaction, you can't assign it to another item.

  4. If you tapped yes, the barcode appears in the Search field.

  5. Delete the barcode from the Search field.

  6. From the pricebook item list, select the item to which you want to reassign the barcode then tap Add Barcode.

The barcode is successfully added to the pricebook item.

Using barcode scanning to receive purchase orders

Tap the Purchase Orders section or tap Receive from the navigation bar. The Receive PO screen opens showing all open purchase orders within your inventory location.

To find a specific PO, you can do one of the following:

  • Use the Search field to find PO by number or location.

  • Filter PO by vendor:

    • Tap the Filter icon.

    • On the Filter by Vendor pop-up that opens, select the vendor and tap Apply.A cursor selecting a vendor.                

      Tip: To select all available vendors, tap Select All.

After the item is marked as arrived, you can start receiving it:

  1. Tap Start Receiving. The PO record screen opens.

  2. Tap the Barcode scanner icon and scan the barcode.
    If you have the item related to that barcode, the item pop-up opens.

    Tip: To see more details about the item, tap the Arrowicon.

  3. Enter how many items you want to receive and tap Confirm.

    Note: You can scan additional barcodes.

            If you scan the item barcode that is already counted, the item record pop-up opens with the following options:

    1. Move to Uncounted

    2. Edit QuantityImage showing the Move to Uncounted and Edit Quantity options.If you don't have the item related to that barcode, the Code Not Found pop-up opens.

  4. Tap Add Code and the number automatically appears in the Search field.A cursor tapping Add Code on the Code Not Found screen.

  5. Delete the number from the Search field.

  6. From the available item list, select the item to which you want to apply the barcode and tap Add Barcode. The scanner opens.

  7. Scan the barcode and enter the number of items you want to receive, then tap Confirm.

Using barcode scanning to complete picklists

Tap the Transfers section or tap Picklists from the navigation bar. The Picklist screen opens showing all pending transfers within your inventory location.

Tap the Filtericon to search transfers by inventory location. Select the inventory location you want, and tap Apply.

Tip: To see transfers from all inventory locations, tap Select All.

To pick an item:

  1. Select the transfer you want to work with from the Picklist screen and tap Start Picking.

  2. Tap the Barcode scanner icon and scan the barcode.

    Note: If you don't have the item related to that barcode on the transfer list, you can't pick that item.

  3. On the item record that opens, enter how many items you want to pick and tap Confirm.

    Note: You can't pick more items that exist on the transfer.

  4. Review the Picklist Summary and tap Submit or Finish for Now depending on the number of items you picked.

If you scan the item barcode that is already counted, the item record pop-up opens with the following options:

  • Move to Uncounted

Using barcode scanning to conduct counts

Tap the Inventory Counts section or tap Counts from the navigation bar. The Inventory Counts screen opens showing all counts within your inventory location. Tap the Filtericon to search counts by inventory location. Select the inventory location you want, and tap Apply.

Tip: To see counts from all inventory locations, tap Select All.

To start counting:

  1. Select the inventory location where you want to count items, and tap Start Counting.
    The inventory location opens showing the list of available items.

  2. Tap the Barcode scannericon and scan the barcode.

    Note: If you don't have the item related to that barcode on the counted list, you can't count that item.

  3. On the item record that opens, enter how many items you have and tap Confirm.

  4. Review the Count Summary and tap Submit or Finish for Now depending on the number of items you counted.

If you scan the item barcode that is already counted, the item record pop-up opens with the following options:

  • Move to Uncounted
