Build and sell estimates in ServiceTitan Mobile

Overview

When you're on a job, you can build custom estimates to meet customer needs or use estimate templates pre-built in ServiceTitan for common jobs like fixing a leak. This helps you present multiple estimates to the customer, sell them, collect payment, and complete the job.

Feature configuration

  • Permission is required to edit sold estimates. Please contact the account administrator for your team.

Things to know

  • If you're presenting an estimate that was included in a proposal template from the office, you see proposal-type labels like good, better, and best.

  • You can only add an estimate template to a job if it's included in a proposal template, but you can always build a custom estimate in ServiceTitan Mobile. For more on building proposal templates, see Proposal templates.

  • Enable the Template Pricebook Items feature in Settings > Operations > Template Pricebook items > Enable Edit in Mobile for when technicians can't find the pricebook item they need during a job. Add template pricebook items to an estimate or invoice items and edit the price and description of one Template Pricebook item to reflect the non-pricebook item for each service, equipment, and material, regardless of permission to complete the job. 

  • When the Edit Material Charge permission is enabled, you can make the material chargeable or non-chargeable when you add it to an estimate and create estimates without inaccurately charging the customer.

Build a custom estimate

You can build a custom estimate while on a job to give your customers several options to choose the best estimate for their needs.

Note: Non-managed technicians do not have the ability to create and sell estimates on the mobile, only managed technicians do. For more, see Managed technicians and non-managed technicians in ServiceTitan Mobile.

To build an estimate:

  1. From the dashboard, tap View Current Job.

  2. Tap Estimates

  3. Tap Add Estimate.

  4. Tap Select on the estimate you want to add to the job.

  5. Add one or more items to the estimate. As you add items, they appear at the top of the screen.

    1. If your account is configured for it you can link services and materials to an installed piece of equipment by tapping Select Equipment to Service > selecting the equipment to link or adding a new piece of equipment > tapping Save.

  6. When finished, tap Done

  7. The Estimate screen opens where you can review your estimate. From here, you can:

    1. Tap Duplicate to duplicate the estimate.

    2. Tap Email to email the estimate and send attachments.

    3. Tap Print to print the estimate.

    4. Tap Materials to see each material included in the estimate and add materials to the estimate.

    5. From Attachments, add attachments, findings, additional items, rebates, and energy savings.

      Note: In the Add Attachments section, you can add photos, documents, and other media and view all files in one centralized location. These files are available in your email when sending estimates.

  8. When finished, tap Done.

Add estimate notes

Note: The notes added in ServiceTitan will be displayed in ServiceTitan Mobile.

You can add internal notes to your estimates to keep track of important information about the estimate. Additionally, you can pin notes to the top.

  1. Tap Estimates.

  2. On the Estimates screen, tap the estimate you want.

  3. Click Add Notes.

  4. Click Save

  5. On the window that opens, enter notes.

  6. Click Save.

Edit and add estimate notes

Note: These are internal notes and won't be sent to the customers. The technician can also view or add notes to estimates.

  1. From the dashboard, tap View Current Job.

  2. Tap Estimates.

  3. On the Estimates screen, tap the estimate you want.

  4. Click Notes.

  5. On the window that opens, add a new note, or click the note to edit it.

  6. When finished, tap Save

Add estimates from a proposal template

Proposal templates let you add estimates pre-built from estimate templates to a job for commonly performed tasks. To add estimates from a proposal template:

  1. From the dashboard, tap View Current Job.

  2. Tap Estimates.

  3. Tap Add Estimate

  4. In the Add Estimate window that opens, tap Select on the proposal template you want to add to the job. 

    Tip: Tap a proposal template to see each included estimate template, prices, and labels.

    The Proposal Template window opens, and you see each estimate included on the proposal template. 

  5. From Estimates, you can:

    1. Add or remove items from an estimate.

    2. Mark an estimate as Recommended.

    3. Present and sell an estimate.

Add or remove items on an estimate

After you build an estimate, you can add or remove items on it to suit the needs and budget of the customer. You can add and remove items on both custom estimates and estimate templates. To add or remove items from an estimate:

Note: When you add a serialized inventory item to an invoice, the system automatically uses the specific cost associated with that serial number. In online mode, only the specific cost will be displayed for the serialized inventory items. For more, see Add or edit serialized items on invoices.

  1. From the dashboard, tap View Current Job.

  2. Tap Estimates.

  3. Tap on the estimate you want to add or remove items from.

  4. On the estimate screen that opens, you can:

    1. Tap Add items to add more items from your pricebook to the estimate.

    2. Tap Remove to remove the item from the estimate.

    3. Tap Replace to replace the item with another item from your pricebook. 

  5. When finished, tap Done. The estimate updates with your changes.

Mark an estimate as Recommended

When you present estimates to customers, they see each estimate, its price, and potential savings if they have a membership with you. You can mark one or more estimates as Recommended, increasing the likelihood that the customer purchases it.

To mark an estimate as Recommended:

  1. From the dashboard, tap View Current Job.

  2. Tap Estimates.

  3. Select Recommend for each estimate you want to mark as Recommended. You can select more than one. 

Present and sell an estimate

After you add an estimate template or build a custom estimate, you can present each estimate option to the customer and sell the estimate. Note that each estimate in Estimates is presented at the same time. To present and sell an estimate:

  1. From the dashboard, tap View Current Job.

  2. Tap Estimates.

  3. Tap Present. Presentation Mode opens with each estimate shown.

  4. When the customer selects the best estimate for their needs, tap View Estimate on the estimate.

  5. Ask the customer to sign the Customer Authorization, and then tap Sign/Accept.

    Note: If no signatures are collected on the invoice, the authorization and acknowledgment paragraphs won't appear on the invoice when printed.

  6. Select which estimates you want to send.

  7. If you're going to complete the work now, tap Yes. If you plan to leave the job site and the work will be completed later, tap No. When finished, tap Apply.

  8. On the Invoice window that opens, depending on the job type, you may need to collect signatures and equipment details. Tap each to complete the required fields.

  9. Tap Closeout.

  10. Tap Complete the job.

  11. When finished, tap Closeout
