Overview
Use the Task Management report template to report on tasks, task types, who tasks are assigned to, when they were assigned, when tasks are due, task resolutions, and connections to the Job or Project the task originated from.

Benefit of using this report
From Permits to Refunds and anything in between, businesses on ServiceTitan use Task Management to streamline operations and enhance efficiency. Businesses need efficient answers to common questions such as:
How many Tasks have been completed today? This month?
How many Tasks are outstanding from last week?
What is the status of all tasks grouped by employee?
Having this information within a report increases efficiency and accountability across your organization. Consider scheduling the report for additional productivity increases across your organization.
Things to know
The Tasks report defaults to the All status. There are no required fields to input in this dataset. However if the goal is to review either open or closed tasks respectfully, consider leveraging the Status filter to increase efficiency. Set the Status to Open to view all Open Tasks, or set the Status to Closed to view all Closed Tasks.
If the Task is not associated with a Job or Project, no data will be visualized in the Job Number and Project Number columns.
If you’re unsure which columns you want to include in your report, use the Reporting Dictionary to search for appropriate data fields.
You can use this template to create as many custom reports as you need. Each report created from the template is independent and can be run or scheduled without needing to recreate it from the original template.
Create a Tasks report
Follow the steps to create a custom report based on the Tasks template and select the columns to include in your report.
The Tasks template has the following columns selected by default:
Task Number: The assigned number of the Task. Distinct from Task ID.
Description: Description field of the Task.
Priority: Priority level associated with the Task.
Type: Task type associated with the Task.
Customer Name: Customer name associated with the Task.
Job Number: Job Number associated with the Task.
Project Number: Project Number associated with the Task.
Task Name: Name of the Task.
Status: Current status of the Task.
Reported On: Date the Task was created.
Reporter: Reporter associated with the Task.
Assigned To: User that the Task is assigned to.
Employee Involved: Employee or Technician associated with the Employee Involved field on the Task.
Resolution: Resolution associated with the Task.
Due: Due Date associated with the Task.
Business Unit: Business Unit associated with the Task.
The Tasks template also offers additional KPIs you may include for your reporting needs:
TaskId: Unique identifier of the Task.
CustomerId: Unique identifier of the customer associated with the Task.
JobId: Unique identifier of the Job associated with the Task.
ProjectId: Unique identifier of the Project associated with the Task.
Tip: Including the IDs in your report enables seamless Vlookup/Xlookup operations in your spreadsheet software. Match identifiers for accurate results when comparing Tasks and Jobs dataset exports. Embrace the simplicity and productivity integrated IDs bring to your data analysis.
Run a Tasks report
Before running your report, ensure that the Status filter aligns with your goal. When the Status is set to All, you will see both Open and Closed Tasks in the same view.

When running the report for all tasks, consider incorporating column filters to align with your goal. For example, in this report we would like to review all of Amy’s open tasks. When we run the report, we can filter the Assigned To column to be either containing or equal to Amy.

With our filter for Amy in place, we can also consider grouping the data for operational efficiency. Here’s what it looks like when grouping by the Tasks’s Status, to see the aggregate of open versus closed tasks.

Tip: Blue text in the report results represents a hyperlink. To increase the actionability of this report, click the Customer's Name to open the Customer Record. The same is true for Job and Project Numbers, as well as the Task Number. Click Task Number and a new page will open in your browser, enabling efficient edits to any Task contained within the data.
