Overview

Use the Invoices report template to create reports based on invoice data including invoice numbers, job numbers, totals, balances, and more.

Example Invoices reports:

  • Report on monthly invoice totals to track the performance of your sales team.

  • Build a scheduled report to email your accounting team outstanding invoices on a weekly basis.

  • Administrators, office employees, managers, accountants, and bookkeepers

  • Applies to all business types

  • Applies to all trades

Feature configuration

  • Creating custom reports is available only to contractors on the Works package or Legacy/Non-Packaged contractors. Contractors on the Starter and Essentials packages have access to built-in reports.

Things to know

  • If you’re unsure which columns you want to include in your report, use the Reporting Dictionary to search for appropriate data fields.

  • You can use this template to create as many custom reports as you need. Each report created from the template is independent and can be run or scheduled without needing to recreate it from the original template.

Create an Invoices report

Follow the steps to create a custom report based on the Invoices template and select the columns to include in your report.

The Invoices template has these columns selected by default:

  • Invoice #: Invoice number

  • Job #: Job number associated with the invoice

  • Job Type: Job type listed on the job record

  • Invoice Status: Whether the invoice is Pending, Batched, Posted, or Exported

  • Total: Total on the invoice

  • Balance: Remaining balance owed on the invoice

  • Invoice Date: Date on the invoice

  • Customer Name: Name of the customer billed on the job

  • Location Address: Service location on the invoice

You can customize the report by selecting additional columns from these sections:

  • Invoice Basics: Common fields included on an invoice

  • Invoice Totals: Totals and subtotals included on an invoice

  • Invoice Dates: Dates associated with a job or invoice

  • Customer Information: Common fields included on a customer record

  • Invoice Item KPIs: Key performance indicators (KPIs) based on costs and revenues on a job

  • Technician Performance: Technician information and sold hours on a job

  • Tags: Tags attached to a job, customer, or location

Run a report

  1. From the Filter by dropdown, select how you want to filter the report:

    1. Invoice Date: Date on the invoice

    2. Completion Date: Date the job was completed

    3. Creation Date: Date the job was booked

    4. Start Date: Date the job is scheduled to begin

    5. Last Paid On Date: Most recent date that payment was made on the invoice

    6. First Dispatch: Date a technician was first dispatched to the job

  2. Click the From - To field to set date filters. You can:

    • Use the calendar to select a specific date range and then click Apply.

    • Use the left menu to select a preset date range:

      • Today: From 12:00 AM to the current time.

      • Yesterday: Previous day, from 12:00 AM to 11:59 PM.

      • This Week: From Monday through Sunday of the current week.

      • Week to Date: From Monday through the current date of the current week.

      • Last 7 Days: Previous seven days, including today.

      • Last 14 Days: Previous 14 days, including today.

      • Last 30 Days: Previous 30 days, including today.

      • Month to Date: From the first of the current month to the current day.

      • Last Month: Entire month before the current month. For example, if the date is February 5, the entire month of January.

      • Last 90 Days: Previous 90 days, including today.

      • This Quarter: Current quarter, including future dates. For example, if the date is April 25, from April 1 - June 30.

      • Last Quarter: Entire quarter before the current quarter. For example, if the date is April 25, from January 1 - March 31.

      • Quarter to Date: From the first day of the current quarter to the current day.

      • Year to Date: From January 1 of the current year to the current day.

      • Last 365 Days: Previous 365 days, including today.

      • Last Year: From January 1 of the previous year to December 31.

  3. From the Business Unit dropdown, select the invoice business units (BUs) you want to report on. By default, the report runs for all BUs. You can filter your report by business units or business unit categories:

    • Click the dropdown to select individual BUs.

    • To report on BU categories such as trade or division, click Filter , select the BU categories you want to include, and click Filter.

      Note: How BU filters are applied depends on the key performance indicator (KPI). Hover over a column header for details.

  4. Select Hide Empty Invoices to filter out empty invoices from your results. Empty invoices are used on projects for days when no items are billed but work is performed. An invoice is considered empty when it meets the following conditions:

    1. Has a $0 total

    2. Contains no invoice items or purchase orders

    3. Associated job is completed or cancelled.

  5. When you're done setting your filters, click Run Report.

Tip: Click Edit Columns to add and remove columns. You can arrange report columns and apply filters for further customization.


Invoices report template FAQs

Does this report template include non-job invoices?

It depends on how the report is filtered.

The following date filters exclude non-job invoices:

  • Completion Date: Non-job invoices aren’t included because there is no job attached, and thus no job completion date

  • Start Date: Non-job invoices aren't included because there is no job attached, and thus no job start date

The following date filters include non-job invoices:

  • Invoice Date

  • Creation Date

  • Last Paid On Date

What is the business unit of this report based on?

The business unit filter corresponds to the invoice item BU. This means that if a business unit is selected in the report filter, an invoice item on that invoice must match the BU in the filter. If there are no items on the invoice, then the invoice BU must match the filter.

All other invoices are excluded.

Does this report template include adjustment invoices?

Yes. Unlike the Jobs report template that gives the option to ‘include adjustments’, adjustment invoices display as their own row on this report. A checkmark displays in the Is Adjustment report column.

When I run a custom Invoices report, the total does not match the total on the Invoice Summary Report/Invoice Detail Report. Why?

The legacy Invoice Detail by Date Report/ Invoice Summary by Business Unit Report are both based on Posted/Exported invoices only.

If you filter the custom report to exclude Pending invoices, they should match.

Where does the ‘Discounts’ report column pull from?

This will only populate if you are using Discounts and Fees. This feature requires account configuration. Please contact Technical Support for details.
