Overview

Use the Inova Payroll Export report template to export payroll data from ServiceTitan. This report is used to import data into Inova, a third-party payroll integration, helping streamline payroll processing and accounting.

Feature configuration

  • Account configuration is required to use this feature. Please reach out to your Customer Success Manager (CSM) for details. 

  • This feature is accessible to existing Inova customers only.

Things to know

  • The Inova Payroll Export report is not created automatically. You need to create a custom report manually using the template.

  • Avoid exporting the report to PDF, as Inova does not support that format.

  • You can schedule the report to run automatically and send it to the appropriate recipients.

  • If you're unsure which columns you want to include in your report, use the Reporting Dictionary to search for appropriate data fields.

  • You can use this template to create as many custom reports as you need. Each report created from the template is independent and can be run or scheduled without needing to recreate it from the original template.

Best practices

  • We recommend including all employees and technicians in payroll to ensure smooth and accurate data integration.

  • Assign employees and technicians to the appropriate Business Units (BUs) for proper payroll mapping.

  • Set up earning codes in advance to align with Inova's import requirements and reduce processing errors.

Create an Inova Payroll Export report

Follow the steps to create a custom report by selecting All as report type, Inova Payroll Export as report template and select the columns to include in your report.

The Inova Payroll Export template has these columns selected by default:

  • Employee ID: Unique identifier for the technician or office employee.

  • Employee Name: Name of the technician or office employee.

  • Pay Statement Type: Hardcoded as "Regular" to indicate regular wages.

  • Start Date: Date of the timesheet activity.

  • E/D/T Code: Configured earnings code set up in the account.

  • E Hours: Total paid hours worked by the employee.

  • E/D/T Amount: Total amount paid to the employee for the entry.

  • CC 1: Business Unit (BU)—sourced from the Job's BU if available, otherwise from the employee's BU.

  • CC 2: Project ID if the timesheet activity is tied to a project.

  • CC 3: Job ID if the timesheet activity is tied to a job.

  • CC 4: Name of the timesheet activity.

  • Eor T:  Indicates whether the individual is an Employee (E) or Technician (T).

You can customize the report by selecting additional columns from these sections:

  • Prevailing Wage Job: Displays Yes if the timesheet is linked to a job at a service location marked as Prevailing Wage; otherwise, No.

  • Labor Type Code: Code assigned to the labor type associated with the timesheet.

  • Labor Type Name:  Name of the labor type associated with the timesheet.

Run a report

Before running your report, set the date filter:

  1. Click the From - To field to set date filters. You can:        

    1. Use the calendar to select a specific date range and then click ApplyUser selects date range in calendar interface and clicks apply button.

    2. Use the left menu to select a preset date range:                

      1. Today: From 12:00 AM to the current time.

      2. Yesterday: Previous day, from 12:00 AM to 11:59 PM.

      3. This Week: From Monday through Sunday of the current week.

      4. Week to Date: From Monday through the current date of the current week.

      5. Last 7 Days: Previous seven days, including today.

      6. Last 14 Days: Previous 14 days, including today.

      7. Last 30 Days: Previous 30 days, including today.

      8. Month to Date: From the first of the current month to the current day.

      9. Last Month: Entire month before the current month. For example, if the date is February 5, the entire month of January.

      10. Last 90 Days: Previous 90 days, including today.

      11. This Quarter: Current quarter, including future dates. For example, if the date is April 25, from April 1 - June 30.

      12. Last Quarter: Entire quarter before the current quarter. For example, if the date is April 25, from January 1 - March 31.

      13. Quarter to Date: From the first day of the current quarter to the current day.

      14. Year to Date: From January 1 of the current year to the current day.

      15. Last 365 Days: Previous 365 days, including today.

      16. Last Year: From January 1 of the previous year to December 31.

  2. When you're done setting your filters, click Run Report.

Export a report

  1. Click Export above the report results. The Export Report pop-up opens.

  2. Under Exporting Format, select the format of your export:        

    1. Export to XLSX (MS Excel): For use in a spreadsheet application.

    2. Export to PDF: For printing or use in other documents (not recommended).

  3. (Optional) Select Export only aggregated data to download just the aggregated report dataExport report options including XLSX format and export button highlighted.

  4. Click Export.
