Track and resolve project issues centrally with RFI & Change Order Request Management to protect your profit margins

Prev Next

This is a new feature that helps track Requests for Information (RFIs) and Change Order Requests on construction projects using a built-in workflow in ServiceTitan.

What's changing with RFI and Change Order Requests?

Before, RFIs and Change Order Requests were handled using email, spreadsheets, or paper. Now, you can create and track RFIs and Change Order Requests inside each project in ServiceTitan. Project Managers can manage RFIs and Change Orders on desktop, and foremen can submit RFIs from the field using mobile webview. RFIs and Change Orders show in dedicated tabs with statuses, metrics, and export options.

Before and After

Before (Current)

  1. Track RFIs and Change Order Requests in separate spreadsheets or emails.

  2. Communicate updates through disconnected tools (email, text).

  3. Use shared drives or folders to store related documents.

  4. Foremen may submit requests in person or by text.

  5. Managers manually track status and deadlines.

Impact: Missed deadlines, higher risk of errors and cost overruns. No visibility into pending items.

After

  1. Go to a project in ServiceTitan and open the RFIs or Change Orders tab.

  2. Project Managers view all items, track statuses, and export to PDF.

  3. Foremen submit RFIs using mobile webview—include subject, question, schedule/cost impact, and attachments.

  4. Email stakeholders directly from the RFI or Change Order screen.

  5. Track due dates and urgency with built-in metrics.

Impact: Everyone stays aligned. You reduce delays, errors, and rework.

Who uses this feature

  • Residential Construction, Commercial Construction

  • Administrators, Project Managers

  • Foremen (Submit RFIs from the field)

  • Region availability: All regions

How it works for your industry

Residential Construction

  • A foreman encounters a missing wall detail on a plan. They submit an RFI with photos using mobile webview.

  • The Project Manager reviews an RFI from the desktop, emails the GC, and updates the RFI status.

  • A homeowner changes materials. The Project Manager logs a Change Order Request so it's tracked on the project.

Commercial Construction

  • A subcontractor sees a design conflict. They log an RFI with notes and photos in the mobile webview.

  • The GC delays approval of a Change Order Request. The Project Manager tracks the pending request with a due date.

  • A PM exports all Change Orders to PDF for a billing meeting.

How to Prepare

  1. Confirm your Project Types in Settings have RFIs and Change Orders enabled.

  2. Bookmark the Project page for each active job with change tracking needs.

  3. Identify teams responsible for field submission vs. desktop management.

  4. Train foremen on how to submit RFIs using mobile webview.

  5. Align project communication workflows to centralize in ServiceTitan.
