This is a new feature that adds a structured way to manage submittals on construction projects using ServiceTitan.

What's changing with Submittals?

Before, there was no built-in place in ServiceTitan to track and manage submittal logs. You had to use outside tools or workarounds. Now, a dedicated Submittals tab lets you view, create, and organize submittals. You can add fields like status, due date, and priority, and use filters and metrics to manage submittals across all your projects.

  1. Open a project.

  2. Create or track submittals using Notes, Tasks, or external tools.

  3. Manually check project records to find submittal details.

  4. Use spreadsheets or outside reports to track due dates.

  5. Fix submittal-project mismatches manually.

Impact: Submittals are harder to track, prone to delays, and time-consuming to manage.

After

  1. Open a project and select the new Submittals tab.

  2. Click Add Submittal and fill in fields like Subject, Priority, Status, Ball in Court, and Due Date.

  3. Filter submittals by status, assignee, or project.

  4. Use the new report template to view submittals across all projects.

Impact: Submittals are centralized, visible, and tracked across all projects.

How it works for your industry

Residential Construction

  • A PM creates a submittal to track custom cabinetry finishes.

  • You set a due date for the homeowner to approve tile samples.

  • The team views a report to ensure all window specifications are approved before ordering.

Commercial Construction

  • You track shop drawings for steel fabrication in the dedicated tab.

  • A PM marks a lighting package submittal as Open to start the review process.

  • The office staff uses filters and reports to find all overdue submittals across multiple building sites.

How to Prepare

  1. Confirm who in your team manages submittals and review their current tools and processes.

  2. Bookmark reporting tools and identify existing projects to pilot the new feature.

  3. Add or modify Project Type Settings to enable Submittals by default on new projects, allowing administrators to configure project types that include Submittals as part of their setup.

  4. Train your project managers to add and manage submittals using the new queue and filters.

  5. Check permissions and workflows to make sure roles are clear for tracking and assigning submittals.
