Plan further ahead with a two-year Dispatch Pro scheduling window

Prev Next

This improvement extends Dispatch Pro's optimization engine from a window of up to 10 days to up to 2 years, so pre-booked jobs receive AI-driven technician assignments and route planning from the moment they are scheduled.

What's changing?

Before this improvement, Dispatch Pro only optimized jobs within a short window of upcoming days — a maximum of 10 days out. Jobs booked weeks or months in advance, such as maintenance agreement visits, seasonal service calls, or pre-scheduled commercial contracts, sat outside Dispatch Pro's view until they were almost due. By the time those jobs entered the optimization window, it was often too late to make meaningful routing or assignment changes, and dispatchers were left manually assigning future bookings.

With Dispatch Pro Extended Scheduling Window, a background service runs on a recurring cadence, detects jobs with future appointments within the extended range, and automatically runs the Dispatch Pro optimization engine for each upcoming day. Dispatch Pro can now optimize the schedule up to 2 years in advance, without disrupting the existing daily dispatch workflow. A new setting under Dispatch Pro Modes lets administrators configure the solving mode for extended-days runs.

A new setting under Dispatch Pro Modes — Solving Mode for Additional Days — lets administrators choose between light and full solving for extended-days runs. This setting is only visible when the feature is enabled. The running mode is set to Auto and is not editable.

Resources

Before and After

Before (Current)

  1. A job is booked for a maintenance agreement visit six months in advance.

  2. The job sits unoptimized on the schedule because it is outside Dispatch Pro's 10-day window.

  3. As the appointment approaches and enters the window, Dispatch Pro begins optimizing, but time is limited.

  4. Dispatchers manually review and adjust technician assignments for future bookings outside the window.

  5. Routes and technician matches for far-out jobs reflect last-minute decisions rather than data-driven optimization.

Impact: Future jobs receive little to no AI-driven optimization until they are nearly due, increasing dispatcher workload and reducing the chance of matching the best technician to each job.

After

  1. A job is booked for a maintenance agreement visit six months in advance.

  2. Dispatch Pro's background service detects the future appointment and queues it for optimization.

  3. Dispatch Pro automatically assigns the best-matched technician and builds an efficient route well in advance.

  4. As the job date approaches, Dispatch Pro continues to re-optimize on its recurring cadence, incorporating any schedule changes.

  5. When appointment day arrives, routes and technician assignments are already data-driven and efficient.

Impact: Pre-booked jobs receive the same AI-driven optimization as same-day jobs, reducing dispatcher workload and improving technician-to-job matching across the entire calendar.

Who uses this feature

  • Residential Service and Replacement, Commercial Service and Replacement

  • Administrators, Dispatchers

  • Region availability: All regions

How it works for your industry

Residential Service and Replacement

  • A plumbing company schedules a year of recurring water heater maintenance visits in one pass, and Dispatch Pro balances them across available technicians.

  • A residential heating, ventilation, and air conditioning (HVAC) shop plans seasonal tune-up campaigns months ahead so spring and fall workloads are set before the rush.

  • A membership-based service business pre-schedules every recurring visit tied to its plans without tracking them outside ServiceTitan.

Commercial Service and Replacement

  • A commercial HVAC contractor loads a full year of preventive maintenance visits across many buildings, and Dispatch Pro optimizes routing across the whole horizon.

  • A facilities service provider schedules recurring service agreement visits two years out to match multi-year contracts.

  • A commercial operator plans seasonal capacity ahead of time so technician load stays balanced week to week.

How to prepare

  1. Have an administrator reach out to your Pro Product Specialist (PPS) to have Dispatch Pro Extended Scheduling Window and any prerequisite configurations enabled.

  2. Confirm that Dispatch Pro is already active and that technician profiles, skills, and zones are current. The Extended Scheduling Window optimization is only as accurate as the data Dispatch Pro has access to.

  3. Review your pre-booked jobs to understand how far out your company typically schedules maintenance agreement visits, seasonal calls, and commercial contracts. This will help you set an appropriate planning window when the feature is enabled.

  4. Identify which dispatchers manage future bookings and align them on the new workflow. Once enabled, Dispatch Pro handles assignment and routing for extended-window jobs automatically, so manual review of those jobs will decrease.

  5. Bookmark any knowledge base articles or Academy courses for team training.
