What's new

Before Ramp Bill Pay, you entered and reconciled vendor bills in ServiceTitan, then paid them in your accounting software or a separate accounts payable tool. That meant a second place to track payment status and a reconciliation on every payment cycle. Now you select reconciled bills in Accounts Payable and pay them by ACH transfer or check in the same place. Ramp, the payments partner, sends the money. ServiceTitan stays the place where you enter, approve, and track your bills. The Payments screen shows each payment's status and the actual payment method, such as ACH Transfer or Check.

Workflow comparison — before & after

← Before
✓ After
1.Enter and reconcile the vendor bill in ServiceTitan.
1.Go to Accounting, then under Accounts Payable, click Bills.
2.Export the bill to your accounting software or a separate accounts payable tool.
2.On the Unpaid tab, select the bills you want to pay for one vendor and click Pay Bills.
3.Pay the bill in that other tool.
3.Select ACH Transfer or Check, review the fee for that method, and complete the payment details.
4.Reconcile the payment back against your records.
4.Click Pay Bills.
5.Track the payment on the Payments screen as it moves from Scheduled to Processing to Paid.
⚠ Every vendor payment is entered twice, and payment status lives outside ServiceTitan.
✓ You enter, pay, and track each bill in one place, then export the payment to your accounting software.

How it works for your industry

Residential Service and Replacement
  • An HVAC office manager pays the weekly supply house bills by ACH transfer after reconciling them, instead of logging in to a second payment tool.
  • A plumbing bookkeeper pays a local parts vendor who does not accept ACH by selecting Check, and the check goes to the address on the vendor's remittance record.
  • An electrical accountant schedules a payment for the bill's due date and checks the Payments screen to see when it moves to Paid.
Commercial Service and Replacement
  • A commercial HVAC controller pays several bills from the same equipment distributor in one payment run.
  • An accounts payable clerk cancels a payment while it is still Scheduled after finding a pricing error on the bill.
  • A commercial plumbing bookkeeper reviews the Payment Method column on the Payments screen to see which vendors were paid by ACH transfer and which by check.
Residential Construction
  • A new construction plumbing contractor pays a lumber and fixture supplier for a house in progress, and the payment stays tied to the bill used for job costing.
  • A residential builder's bookkeeper pays a permit fee by check to a city office that does not accept ACH.
  • An office manager marks bills that were already paid before Bill Pay as paid with Bulk Update Bill Status, so the Unpaid tab shows only open bills.
Commercial Construction
  • A commercial electrical contractor's accounts payable team pays approved subcontractor and supplier bills after the bills clear the approval workflow.
  • A project accountant pays a large material supplier by ACH transfer and confirms the payment appears for export to the accounting software.
  • A controller checks the tracker on a bill to see whether the payment is Processing before answering a vendor's call about payment status.
Roofing and Exteriors
  • A roofing office manager pays the shingle distributor by ACH transfer after reconciling the bill against the delivery receipt.
  • An exteriors bookkeeper pays a dumpster rental vendor by check because the vendor does not accept ACH.
  • A roofing controller reviews the Unpaid tab each week, because failed or returned payments stay there until someone acts on them.

How to prepare

01
Have an administrator apply for Ramp Bill Pay from the fintech onboarding screen in ServiceTitan, or connect your existing Ramp account. After Ramp approves the application, ServiceTitan turns on Bill Pay.
02
Confirm that Accounts Payable is turned on for your account. If it is not, contact Technical Support or your Customer Success Manager (CSM) to have it enabled.
03
Identify the vendors you pay most often and add their remittance details under Settings > Purchasing > Vendors > Remittance Information: a bank account and routing number for ACH transfers, and a mailing address for checks.
04
Align your team on who reconciles bills and who pays them, and review who has the bill payment permissions under Settings > Role Permissions > Payables Processing.
