What's new

Previously, job-related card charges sat on a statement with no link to the work. Your office chased technicians for receipts and job numbers, then entered each charge by hand. Now a technician enters the job, project, or purchase order (PO) in Ramp at the point of purchase, and the receipt is captured when needed. The transaction imports into ServiceTitan already coded to a general ledger account and attached to that job. Expenses land on the Expenses screen under Accounts Payable, with a Needs Review tab for anything that did not match. From there, you batch, post, and export expenses to QuickBooks Online, QuickBooks Desktop, Xero, or Sage Intacct, and see them in Job Costing and Project Financials.

A new Vendor Matching section at Settings > Accounting > Credit Card Transactions lets you choose how card transactions match to vendors. You can match each transaction to your ServiceTitan vendors, or use one Default Expense Vendor for every transaction. In matching mode, Manage Vendor Mapping List opens a list of every card-transaction vendor and its ServiceTitan vendor, with search and a Mapped, Unmapped, and All filter. Each row saves as soon as you pick a vendor. If you never open the setting, ServiceTitan keeps matching each transaction to your vendors.

3.A bookkeeper enters the charge into ServiceTitan by hand.
3.ServiceTitan matches the transaction to a vendor, based on your Vendor Matching setting.
4.Job costs stay incomplete until the entry is finished.
4.Your bookkeeper reviews anything flagged on the Needs Review tab.
5.Expenses batch, post, and export to your accounting software, and appear in Job Costing and Project Financials.
⚠ Card spend reaches job costing late, and your team spends hours on follow-up and manual entry.
✓ Card spend appears in job costing right after it imports, and reaches your general ledger without manual entry at close.
