Improve collaboration with Document Management Annotation Commenting

This improvement lets you add comments to document annotations and tag team members to keep communication connected to your files. Look for this feature in an upcoming release!

What's changing with Document Management?

Previously, you could not leave comments directly on document files or tag other employees. If you had a question about a photo or document, you had to call or email them separately. Now, you can add comments and directly tag other employees in the office or technicians in the field, who will receive a notification. This improves communication by allowing direct collaboration between users and keeping a record within the communication hub.

Before (Current)

  1. In the Project section, click Documents, Forms, Media & Attachments.

  2. Open a file in Document Management.

  3. Review the document and note where you need input.

  4. Open another app or tool to send a message or email.

  5. Include screenshots or file notes to explain your question.

  6. Wait for a response on another platform.

Impact: Communication is disconnected from the document. Responses are harder to track.

Try the current workflow in your account.

After

  1. In the Project section, click Documents, Forms, Media & Attachments.

  2. Open a PDF in Document Management.

  3. Change to Add a note or annotation element to the drawing, then add a comment.

  4. Tag teammates by name and post your comment.

  5. Teammates get Toolbelt notifications with direct links.

  6. Reply to threads from Office or Mobile.

Impact: Conversations stay attached to the document. It's faster to review and resolve questions.

Commercial Service and Replacement

  • A project manager reviews service reports and tags a technician to clarify part usage. They reply from their mobile device while on-site.

  • Office employees coordinate with field teams by replying to comment threads on service agreements.

  • A dispatcher tags the lead technician on a job proposal needing sign-off before it's sent to the customer.

Commercial Construction

  • A project coordinator reviews a spec sheet and tags the field supervisor for confirmation. The comment stays tied to the annotation.

  • A foreman replies to an engineering change comment from their tablet during a walkthrough.

  • A billing manager checks a signed-off job proposal and tags an estimator to clarify scope before billing.

How to Prepare

  1. Confirm that your team is using Document Management and Annotations in ServiceTitan.

  2. Bookmark your Toolbelt to monitor tagged comments from the web or mobile.

  3. Train office employees and technicians on how to post, tag, and respond to comments.

  4. Align internal workflows so document-based discussions are handled inside ServiceTitan.

  5. Make sure you're using the new ServiceTitan Field Mobile App. This feature does not work with the legacy ServiceTitan Mobile App.
