Hide all line items on estimates to create cleaner, more focused printouts

This improvement lets office employees hide all line items on an estimate so that printed estimates, emailed PDFs, online estimates, contactless estimates, and estimates in presentation mode show only the items that matter to the customer.

What's changing?

Before, hiding a line item on an estimate was limited to items with a $0 value. If you tracked chargeable materials or internal cost items on the same estimate that you did not want visible to your customer, you had no way to remove them from the printout without deleting them. Now, you can hide all line items on an estimate directly from the three-dot dropdown menu. Hidden items stay on the estimate for your own tracking but do not appear on the printed estimate, emailed PDF, online estimate, contactless estimate, or in presentation mode. You can unhide any item at any time.

  1. Open an estimate and locate a line item you do not want visible on the printout.

  2. Notice that the three-dot dropdown only offers a Hide the Item option for $0 items. Chargeable items do not have this option.

    Note: There are different ways to hide non chargeable items with and without DTE. For more, see Hide line items on estimates.

Impact: Removing items to clean up the printout means losing the cost and quantity data tied to those items. This makes it harder to track profitability and compare budget against actuals, especially on large commercial projects.

After

To hide all line items at once (bulk):

  1. Open an estimate that has at least one line item.

  2. Select the Hide / Show Items button. A checkbox appears on every line item, and the Select All and Deselect All buttons become available.

  3. Select Select All to check all line items.

  4. Select Hide Items to hide the selected items.

All checked items are now hidden from the printed estimate, emailed PDF, online estimate, contactless estimate, and presentation mode. They remain visible to your team on the estimate screen.

To show all hidden items at once:

  1. Select the Hide / Show Items button.

  2. Select Select All to check all items.

  3. Select Show Items.

To hide or show a single line item:

  1. Hover over the line item and select the three-dot icon on that row.

  2. Select Hide the Item or Show from the dropdown.

Impact: You can now keep every line item on the estimate for accurate internal tracking while showing clients only the items they are being charged for. This results in cleaner, more professional estimate printouts without sacrificing cost data.

Commercial Construction

  • A general contractor (GC) estimator builds a large estimate that includes both billable scope items and internal cost-tracking lines for subcontractor labor. They use Select All > Hide Items before sending the estimate to the client as a PDF, so the client sees only the priced scope.

  • A project manager (PM) includes material staging costs as separate line items on an estimate for budget-tracking purposes. Those lines are hidden before the estimate is sent to the owner for approval, keeping the estimate presentation clean while preserving budget-versus-actual data in ServiceTitan.

  • An office employee prepares a multi-phase estimate that includes allowance items not yet confirmed with the client. They hide the allowance lines for the initial proposal and unhide them once scope is agreed upon, avoiding confusion during early negotiations.

How to Prepare?

  1. Identify which estimate workflows in your business involve line items that should not appear on client-facing printouts, for example, internal cost codes, material staging items, or subcontractor breakdowns.

  2. Train your estimating team and office staff on how to use Hide the Item and Unhide the Item from the three-dot dropdown on estimate line items.

  3. Confirm that your Document Template Engine (DTE) estimate templates are set up to reflect hidden items correctly on printouts — hidden items will not appear on the printed estimate PDF regardless of template configuration.
