This is a new feature that helps technicians collect job-specific deposits when work is scheduled for later.

What's changing with deposits on sold estimates?

Before, when technicians sold an estimate for future work, they couldn't collect a deposit in the Field Mobile App. Any deposit had to be collected separately and recorded as a general credit. This caused extra work in the office to apply that credit manually. Now, technicians can collect a deposit right from the estimate. The deposit carries over to the follow-up job, making sure the right balance shows on the final invoice.

  1. Sell an estimate in the Field Mobile App.

  2. Tap Perform work later to finish the estimate.

  3. Tell the office to collect a deposit separately.

  4. The office collects and applies deposits manually.

  5. Link balance and deposit to follow-up job manually.

Impact: Technicians couldn't collect deposits during estimate visits. The office had to manage deposits manually, leading to delays and mistakes.

After

  1. Sell an estimate in the Field Mobile App.

  2. Tap Perform work later.

  3. Tap Collect Deposit.

  4. Choose or enter a deposit amount and collect payment.

  5. The deposit carries over to the invoice on the follow-up job.Note: The deposit is listed on the initial job's printed invoice when:

    • Using a Template Manager—also called Document Template Engine (DTE)—template that contains the Payment and Invoice Price Modifiers module.

    • Using the Price Information module on the legacy non-DTE print view.

Impact: Technicians can collect deposits during the visit. Office teams spend less time managing credits and can invoice with accurate balances.

Test changes in the Field Mobile App: Tap Menu   > Switch Environment  or tap Switch to a different environment on the sign in screen if you're not signed in.

How it works for your industry

Residential Service and Replacement

  • A technician sells an AC replacement to be installed next week. They collect a 25% deposit in the field. The deposit is applied to the final install job.

  • A technician books a water heater install for the weekend. They collect a flat $500 deposit at the estimate. The follow-up job automatically reflects the remaining balance.

Commercial Service and Replacement

  • A technician sells an elevator motor repair for a future visit. They collect 10% up front. The deposit links to the follow-up job, and accounting can see it in reports.

  • A field technician sells an estimate for a multi-day job and collects a deposit. Office staff book the follow-up visit with the deposit auto-applied.

  • For scheduled maintenance with equipment orders, technicians collect deposits during the estimate. Finance teams use this for cash flow tracking.

Residential Construction

  • Technicians collect a percent-based deposit for phased residential jobs. The deposit carries through to future visits.

How to Prepare

  1. Confirm deposit rules. Review your current deposit policies and talk with accounting about when to collect deposits.

  2. Align field and office teams. Make sure both know how deposit collection works and when to use it.

  3. Train technicians. Show field staff how to sell estimates, tap Perform work later, and use Collect Deposit.

  4. Check technician permissions. Make sure technicians can view totals and collect payments in the Field Mobile App.
