Use Continuous Timekeeping to track non-job events in the ServiceTitan Field Mobile App

Overview

Non-job events are activities that aren't tied to a specific job, like training sessions, truck maintenance, or paid time off (PTO). With Continuous Timekeeping, you can start, create, edit, and end non-job events directly from your job dashboard. This keeps your timesheet accurate without after-the-fact corrections.

  • The following permissions are required to use this feature. Please contact the account administrator on your team.

    • Add non-job event

    • Edit non-job event

Things to know

  • There are two types of non-job events: PTO non-job events, which your office or payroll system starts automatically at the scheduled time, and non-PTO non-job events, which you start yourself.

  • Non-PTO non-job events don't have an End button. They end when you clock out or tap a different timesheet activity.

  • If your Edit non-job event permission is turned off, you'll still see the Edit button on the non-job event activity card, but it'll be grayed out and you won't be able to tap it.

  • You can't edit a completed non-job event from the activity card. To edit a completed non-job event, see View and edit timesheets with Flexible Timekeeping in the ServiceTitan Field Mobile App.

Best practices

  • Start a non-PTO non-job event the moment you actually begin the activity so your timesheet start time is accurate.

  • For an ad-hoc non-job event without a known end time, tap into your next activity to end it cleanly.

  • Edit a pre-scheduled non-job event before it ends if the duration, type, or other details change—this avoids manual timesheet corrections later.

  • If your office uses the mobile calendar, you can also start an non-job event by tapping the calendar event block directly on your job dashboard.

  • Review your timesheet list at the end of the day to confirm your non-job event start and end times look correct.

Use cases

  • A technician sees a Truck Maintenance non-job event on their dashboard at 9:30 AM and taps Start when they begin loading the van.

  • A technician with a 1:00 PM doctor's appointment finishes their last job at 12:40 PM and taps Start early on the PTO non-job event.

  • A technician needs to log a supply-house run mid-shift. They create an ad-hoc non-job event from the dashboard, then tap into their next job when they return—the non-job event ends automatically.

  • A technician's Vehicle Inspection non-job event was scheduled for 30 minutes, but they realize it'll take longer. They tap Edit to update the duration before the non-job event ends.

  • A technician on a 1:00–4:00 PM PTO non-job event returns to work at 2:30 PM and taps End on the PTO activity card so their timesheet reflects the actual return time.

Start a pre-scheduled non-job event with Continuous Timekeeping in the Field Mobile App

  1. There are three ways to start a pre-scheduled non-job event:

    • On the Home screen, find the pre-scheduled non-job event, tap it, then tap Start.

    • On the Time screen, find the pre-scheduled non-job event then tap Start.

    • If you use the mobile calendar, find the pre-scheduled non-job event, tap it, then tap Start.

  2. If you tap Start before the scheduled start time, a confirmation appears. Tap Start Now to proceed. The start time on your timesheet reflects when you tapped, not the scheduled time.

    Note: If you tap Start at or after the scheduled time, no confirmation appears—the non-job event starts immediately.

  3. The non-job event goes in-progress and is now the active activity on your timesheet.

    Current activity shows reviewing schedule with options to edit or clock out.

    Note: For PTO non-job events, you'll see a live countdown to the scheduled start time. Your office or payroll system starts the non-job event automatically at the scheduled time. If you don't start it early, the non-job event will appear in-progress with the payroll-recorded start time the next time you open or refresh the app.

Create an ad-hoc non-job event with Continuous Timekeeping in the Field Mobile App

If you need to log a non-job event that isn't on your schedule, you can create one:

  1. Open the Field Mobile App and tap Time A simple icon in the shape of a clock. .

  2. Tap Create Non-Job Event.

  3. Enter the event details:

    • Event name

    • Activity type

    • Start time

    • (Optional) End time

  4. Tap Save.

  5. The new non-job event appears on your dashboard and is ready to start. Tap Start when you're ready to begin.

    Note: If your office uses the mobile calendar, you can also create an non-job event from there. For more, see Use the calendar in the ServiceTitan Field Mobile App.

Edit a non-job event with Continuous Timekeeping in the Field Mobile App

You can edit an non-job event that hasn't ended yet—this includes pre-scheduled non-job events that haven't started, pre-scheduled non-job events that are in progress, and ad-hoc non-job events that are in progress.

  1. Find the in-progress non-job event in one of three ways:

    Note: If the Edit button is grayed out, your Edit non-job event permission isn't turned on. Contact your office to enable it.

  2. Update the non-job event details then tap Save.

  3. The activity card reflects your updates. Edits don't change the non-job event's start time if it's already started.

    Note: To edit a completed non-job event, see Edit your timesheet entries in the ServiceTitan Field Mobile App. The Allow to edit timesheets permission is required.

End a non-job event with Continuous Timekeeping in the Field Mobile App

The way you end an non-job event depends on whether it's a non-PTO non-job event or a PTO non-job event.

End a non-PTO non-job event

Non-PTO non-job events don't have an End button. The non-job event ends in one of two ways:

  • You clock out. Tap Clock Out at the end of your day. The active non-job event ends at the clock-out time.

  • You tap a different timesheet activity. Tap a job, another non-job event, or PTO to start it. The active non-job event ends at the tap timestamp, and the new activity starts immediately.

    Note: The scheduled end time on a pre-scheduled non-PTO non-job event is a soft target. The non-job event doesn't auto-end at that time—it only ends when you clock out or tap into another activity.

End a PTO non-job event early

If you need to end an active PTO non-job event before its scheduled end time—for example, you returned to work early—you can end it from the activity card.

  1. Find the active PTO non-job event.

  2. Tap End.

  3. The PTO non-job event ends with the end time set to when you tapped. You can then clock into your next activity.

    Note: If you don't end a PTO non-job event manually, your office or payroll system ends it automatically at the scheduled end time.

View completed non-job events on your timesheet with Continuous Timekeeping in the Field Mobile App

After an non-job event ends, it appears on your timesheet list with the actual start and end times—including cases where the non-job event ended early because you tapped into a different activity.

  1. Open the timesheet list.

  2. Find the non-job event entry in chronological order with the other timesheet activities.
