Use the Jobs Tray on the Weekly Dispatch Board

Overview

Maintain access to critical information with the Jobs Tray on the Weekly Dispatch Board, which you can minimize or fully expand. The Jobs Tray shows you job appointments by status in different tabs. The Unassigned and Alerts tabs are especially important, as they show you which job appointments need your attention first.

Things to know

  • The Jobs Tray on the Weekly Board includes an Assigned tab that shows job appointments that are Scheduled and Assigned.

  • You can expand the Jobs Tray to a full-screen view and keep it open in a separate window while you work.

  • Expand the Jobs Tray and keep it open in a separate window while you work to keep an eye on all your dispatching tasks, such as unassigned jobs and alerts.

How the Jobs Tray on the Weekly Board is different from the Daily Board

The Jobs Tray on the Weekly Dispatch Board is similar to the Job Tray on the Daily Dispatch Board with a few key differences. With the Jobs Tray on the Weekly Board:

  • Click, hold, and drag the Jobs Tray header to adjust your view. You can also adjust your view by clicking Collapseto view more of the Weekly Board or Expandto view more of the Jobs Tray.

  • Click Infoto open the Job Details Flyout or Moreto open the Action menu for a job appointment.

  • Use the Select Technician dropdown in the Technician column of the Unassigned tab to assign technicians to appointments.

  • Hold Reasons are now shown on the Hold tab and can be filtered.

  • The Assigned tab shows job appointments that are Scheduled and Assigned.

Jobs Tray tabs on the Weekly Dispatch Board

Status tabs are what make up the Jobs Tray. Each row within a tab corresponds to a single job appointment.

Note: Job appointments with Posted or Exported invoice statuses are not shown in the Jobs Tray. Only job appointments with Pending invoice statuses are shown. For example, an appointment for a job with a Pending invoice will be shown, but as soon as the invoice status is changed it will be excluded.

Jobs Tray tabs on the Weekly Board include:

  • Unassigned: Scheduled job appointments that don't have any assigned technicians and are not in Hold status. Includes appointments with a start date three months before the end of the current selected five-day or seven-day period.

  • Assigned: Scheduled job appointments that have at least one assigned technician and are not in Working, Dispatched, Paused, Hold, Done, or Canceled status. Includes appointments with a start date three months before the end of the current selected five-day or seven-day period.

  • Alerts: Job appointments with triggered alerts. Includes appointments with a start date within the current selected five-day or seven-day period. For more, see Configure Dispatch Board Alerts and Dispatching icon and alert glossary.

  • Hold: Job appointments in Hold status. Includes appointments with any start date in the past, future, or today, regardless of the current selected five-day or seven-day period.

  • Paused: Job appointments marked Paused. Includes appointments with any start date in the past, future, or today, regardless of the current selected five-day or seven-day period.

  • Canceled: Job appointments marked Canceled. Includes appointments with a start date within the current selected five-day or seven-day period.

    Note: Sometimes, not all job appointments within a canceled job will have a canceled status. An appointment that is marked Done before a job is canceled stays as a Done appointment and is not listed in the Canceled tab.

Resize the Jobs Tray on the Weekly Dispatch Board

Drag the Jobs Tray header to adjust your view.

You can also adjust your view by clicking Collapseto view more of the Weekly Board or Expandto view more of the Jobs Tray:

The Jobs Tray remembers how you last adjusted it.

Tip: Keep the fully expanded view of the Jobs Tray open in a separate window while you work on the Dispatch Board in another window. Click Refresh at the top of the screen in each window to see updates from other dispatchers.

Use the Job Details Flyout and More Actions in the Jobs Tray

Click Infonext to a job appointment to manage it using the Job Details Flyout. For more, see Use the Job Details Flyout to view and edit job details on the Dispatch Board.

Click More Actionsnext to a job appointment to:

Assign technicians to Unassigned job appointments

  1. Go to the Unassigned tab of the Jobs Tray on the Weekly Dispatch Board.

  2. Click the Select Technician dropdown to find and select the technician or technicians you want to assign to the job appointment.

  3. Click Assign/Unassign to assign the selected technician or technicians to the job appointment.Cursor clicking Assign/Unassign to assign the selected technician or technicians to the job appointment.

Filter and sort the Jobs Tray on the Weekly Dispatch Board

Columns that have a Filtericon in the Jobs Tray can be filtered and sorted.

Note: Business unit filters used on the Weekly Dispatch Board also apply to the Jobs Tray.

  1. Click Filterin a column header to select filtering options.Cursor clicking Filter in a column header to select filtering options.

Sort Jobs Tray columns

Note: The Received Date & Time column is sorted in descending order by default.

  1. Click a column header to sort the Jobs Tray in ascending order by that column. An arrow pointing up appears, which means the column is sorted in ascending order.Cursor clicking a column header to sort the Jobs Tray in ascending order by that column.
