Overview

Use the Online Estimates feature to add a link to customer emails which lets them review and approve their estimates.

  • Account configuration is required to use this feature. To update your account, please contact Technical Support for details.

Things to know

  • If a technician emails and sells an online estimate while at a job as part of the contactless experience, they can choose whether to perform the work now or later. Choosing to do the work now or later has different implications:        

    • Perform Work Now: All items from the sold estimate are added to the job's invoice, and the sold type is set to Perform Work Now.

    • Perform Work Later: When the job is marked as Complete, a project is automatically created, and the job is linked to the project.

  • Technicians can't choose Perform Work Now for estimates sold online if any of the following are true:        

    • Payment is collected for the job

    • The Customer Acknowledgement has been signed

    • The job is marked as Complete

    • The sold estimate already has items booked onto another job's invoice

  • The Sold By credit is given to the employee or technician who created the estimate, not the employee or technician who emailed the estimate.

Customize the Online Estimate email template

When you enable Online Estimates, customize the invoice email template to include the {OnlineEstimateLink} text:

  1. Go to the navigation bar and click Settings A simple icon representing a settings gear..

  2. In the side panel, click Invoicing > Email.

  3. From the buttons on top, click the Estimate tab. Email settings for sending an estimate with placeholders for customer details and links.

  4. Select the default expiration date for the online estimate link.        

    Note: These settings apply to all estimates unless a custom date is manually selected when sending the estimate. If you do not select an expiration date, the default duration of 30 days automatically applies to new customers.

  5. Specify the dates for resending the estimate if it is not accepted.        

    Note: The estimate will be resent until it's accepted or dismissed.

  6. Add {OnlineEstimateLink} into the body of the email. Email template showing placeholders for customer estimates and online estimate link.

  7. Review the preview of the email. When you are finished, click SaveEmail preview showing a link to view estimates for the recipient.

Track and review estimate resend events

When you resend estimates, the logs will be visible in the job and opportunity History sections.

To view estimate resend records:

Option 1

  1. In the Job screen, scroll down to the History section and click EmailEmail history showing estimates sent to Ricky Smith from Good Company East, Inc.

Option 2

  1. On the Job screen, click View Opportunity.

  2. On the Opportunity Follow-Up screen that opens, scroll down to the history log records section. Opportunity follow-up details including job number, customer information, and invoice summary.

Send an Online Estimate

When you customize the estimate email template to include the Online Estimates link, the link appears anytime you send an estimate email to a customer. This applies whether a technician sends it by ServiceTitan Mobile or an office employee sends an estimate in ServiceTitan.

Online Estimate emails include a PDF version of the estimate and whatever else you have added to the template. You can also view the job address and job or project ID on your estimate, so that you know what location, job, or project the estimate is for.

When the customer opens the email and clicks the link to the estimate, they see the Online Estimates website. Here, they can view and approve their estimates.

When the customer selects Accept Now, they can review any terms and sign the invoice. Customers using a mobile device have the option to sign using their touchscreen, while customers using a computer can type an e-signature.

You can see that the estimate was sent, sold, and signed in the job audit trail.

Set up alerts for Online Estimates

You can set up email and text notifications so that you receive an alert when an Online Estimate is viewed and when an Online Estimate is signed.

The alerts are called Customer Viewed Online Estimate and Customer Signed Online Estimate. For more information on how to set up email alerts, see Use alerts.
