What you're seeing
The cost of a material in your Pricebook doesn't match the cost on the vendor bill. After receiving a PO and creating a bill, the Pricebook still shows the old cost instead of the new cost you were charged.
Where you see it: Pricebook (material cost is stale) and Accounting > Bills (creating a bill from a PO receipt)
Where you fix it: Your purchasing settings, then the Create Bill page
Why this happens
There are 2 common reasons.
Reason 1
ServiceTitan doesn't push a bill's cost back into the Pricebook.
The Pricebook cost only changes when you update it manually, or when you turn on the Update Pricebook option while creating a bill from a PO receipt.
Reason 2
Automatic bill creation never shows the Update Pricebook option.
If your account is set to create bills automatically when a PO is received, the Update Pricebook option is never shown, and the cost won't update on its own. Automatic bill creation does not expose the Update Pricebook option or update the Pricebook cost. To use the received cost, you have to create the bill manually.
Before you start
You need access to create bills and to edit Pricebook costs. If you don't have it, contact your admin.
You'll turn off automatic bill creation so you can create the bill by hand. This is the Automatically Create Bill when PO is Received setting in your purchasing settings.
How to fix it
Choose the approach that fits how often you process POs.
1Create the bill manually and update the Pricebook
Use this for a one-off cost correction, or if you process POs occasionally.
Turn off the Automatically Create Bill when PO is Received setting.
Receive the PO, then create a bill from the PO receipt by clicking Create Bill.
On the Create Bill page, turn on the Update Pricebook toggle, found on the right side above the line items.
Enter the new material cost from the bill.
When ServiceTitan asks you to confirm the Pricebook update, confirm to proceed.
Go to your Pricebook and check that the material cost now shows the updated amount.
✓ Done · The material's cost in the Pricebook matches the cost from the bill.
2Keep costs current automatically with Weighted Average Cost
Use this if you process a high volume of POs and don't want to toggle Update Pricebook on every bill.
You can keep automatic bill creation on and enable Weighted Average Cost. With Weighted Average Cost, item costing is based on the running total of your actual receipts and updates automatically, rather than pulling from the static Pricebook cost.
Note: This requires Inventory and Weighted Average Cost to be enabled for your account. See Update an item's weighted average cost for details.
