Set up job-booking notifications for Scheduling Pro

Overview

Scheduling Pro does not send job-booking notifications natively. You can set up alerts in ServiceTitan to notify your team when a customer books or requests a job through your scheduler. Using a dedicated Scheduling Pro tag, you can filter these alerts so only Scheduling Pro jobs trigger them.

  • To get started with Scheduling Pro, request a demo on our Pro Products page, or reach out to your Customer Success Manager (CSM) or Pro Account Manager (PAM).

Things to know

  • Scheduling Pro does not manage job-booking notifications directly — alerts are configured in ServiceTitan and use a Scheduling Pro tag to filter jobs booked through your scheduler.

  • Setting up job-booking notifications is a three-part process: create a tag in ServiceTitan, set up the alert using that tag, then assign the tag as the default in your Scheduling Pro scheduler.

  • If you skip setting the tag as the default in Scheduling Pro, the alert won't be scoped to Scheduling Pro jobs only.

Best practices

  • Name your tag clearly (for example, Scheduling Pro) so it's easy to identify when setting up alerts and reviewing jobs.

  • Set up both Booked Job and Booking Request Received alert types if you want notifications for both confirmed bookings and unconfirmed requests.

Use cases

  • A dispatcher wants an email the moment a customer books online through Scheduling Pro so they can confirm the job and assign a technician promptly.

  • An office manager wants SMS notifications for all Scheduling Pro booking requests to ensure none fall through the cracks during busy periods.

Step 1: Create a Scheduling Pro tag

If you haven't already created a dedicated Scheduling Pro tag in ServiceTitan, complete this step first. If you already have one, skip to Step 2.

  1. Go to the top toolbar and click Settings  

  2. In the side panel, click Operations > Tag Types.

  3. Click Add and create a new tag named Scheduling Pro.

  4. When finished, click Save.

Step 2: Set up the alert in ServiceTitan

  1. Go to the top toolbar and click Settings  

  2. In the side panel, click Integrations > Alerts.

  3. In the Alerts section, click Add to create a new alert.

The Add alert screen opens.

  1. From the Type dropdown, select Booked Job or Booking Request Received as the alert type. 

Note: Select Booked Job to be notified when a booking is confirmed. Select Booking Request Received to be notified as soon as a request comes in. You can create separate alerts for each type if needed.

  1. From the Tags dropdown, select the Scheduling Pro tag.

  2. Enter the remaining alert details such as delivery method, recipients, and any other preferences.

  3. When finished, click Save.

Step 3: Assign the tag as the default in Scheduling Pro

After creating the alert, assign the Scheduling Pro tag as the default tag in your scheduler. This ensures that every job booked through Scheduling Pro is automatically tagged and triggers the alert.

  1. Go to the top toolbar and click Settings  

  2. In the side panel, click Integrations > Marketing Integrations.

  3. On the Marketing Integrations screen, click Edit next to the Scheduling Pro integration.

  4. Within WorkConnect, click MoreA simple icon in the shape of three dots, lined up vertically.> Edit on your scheduler.

  5. From your scheduler, in the Services Offered section, click Edit .

  6. Click the Advanced Settings tab.

  7. In the Default Tag section, select the Scheduling Pro tag. 

  8. When finished, click Done.

After completing setup, your team receives email or SMS notifications whenever a job is booked or requested through Scheduling Pro.
