Overview

This guide covers the best practices for creating, presenting a roofing proposal, and closing the deal using Spec-Based Estimates in ServiceTitan Mobile. By following the steps in this guide, you can efficiently create, present, and close roofing proposals to drive successful deal outcomes and deliver a professional customer experience.

Things to know

Conduct a sales visit

During a sales visit, proposals allow you to present multiple estimates in a formal document to gain customer approval, collect payment, and close out the sales job.

Note: During a sales visit, you can create custom proposals or use pre-built templates. For more, see Setup document template.

  1. In ServiceTitan Mobile go to the dashboard.

  2. Tap View Job.        

    Note: You must be assigned as the technician on the job by your office admin team before the job is visible.

  3. Review the job details, including the address and appointment time or arrival window.

  5. When you reach the job location, tap Arrive.

Note: Depending on your account configuration, tapping the Dispatch and Arrive buttons may send notifications to the customer and/or your administrative team.

Tip: Any images or notes are available in the Job History.

  1. After meeting with the customer, collect relevant measurements and photos onsite.

The Proposal Builder workflow opens in a new browser window. Follow the steps below to create a proposal.

Step 1: Enter general information and design details

Fill out general information about the proposal and select the pre-built design from the options.

  1. Fill out the General Information section about the proposal:        

    1. Proposal Name

    2. Business Unit                

      Note: Business Unit is prefilled based on the job's business unit.

    3. Proposal Summary

  2. Select one of the prebuilt design templates.

  3. Tap Next.

Step 2: Build your roofing estimate

Select one of the prebuilt spec based templates to build estimates.

  1. Tap Spec Based Template tab.

  2. Select one of the prebuilt spec based templates.

  3. Tap Continue to Measurement.

Step 3: Enter your measurements

On the Measurements tab, select one of the preordered measurement options. If no measurements were ordered, select Manual Input to enter manually.

Note: The fields on your form are customized to match your company's pricebook and estimating calculations.

  1. Tap Existing Measurement.

  2. From the Measurement dropdown, select the preordered measurements.

  3. Tap Next.

  4. On the Measurements screen, enter the roofing measurements.        

    Note: If you selected a preordered Existing Measurement, some fields will be prefilled in the Roofing Measurements section. You can edit them anytime.

  5. When finished, tap Submit.        

    Note: When the form is submitted, an estimate is generated in the Estimates module. If you made a mistake or forgot to add an item, you can edit submitted form measurements.

Step 4: Fill out the information

On the Create Proposal screen, fill out different sections to create the final proposal.

  1. From the Select Estimates window, view and select estimate options to include in the proposal.

  2. When finished, tap Next.

  1. Enter your contract specific information.

  2. When finished, tap Next.

  3. Tap Select Variation to select the style and color for materials with multiple options, such as shingles.

  4. When finished, tap Next.        

    Note: You can skip this step, if you have not selected a color yet.

  5. To add attachments to your proposal, tap Attach Files and select the files or images.          Add Attachments dialog with an Attach Files button, allowed file types text, and an empty attachments area with an illustration indicating no attachments.        

    1. After the files appear, select the files to include and tap Next.                

      Note: The system automatically displays photos taken before you start the proposal, but you still need to select each item manually.

  6. Payments & Terms autopopulates if you select one estimate. If you select more than one estimate, skip this step and tap Next.

After entering all information in the sections, tap Next to preview the proposal.

(Optional) View the proposal

While creating the proposal, you can view it as well.

  1. Tap Present on the Create Proposal screen. The Proposal Preview screen opens.

  2. Present the proposal to your customer from this screen.        

    1. Scroll down manually to view the full proposal.

    2. Tap the zoom‑in icon to zoom in and the zoom‑out icon to zoom out.

    3. Tap the download icon to download the proposal as a PDF.

    4. Tap the next‑page icon to go to the next page.

    5. Tap the previous‑page icon to go to the previous page.

  3. When finished, tap x to close the preview screen.

Step 5: Preview and send the proposal to the customer

You can also preview the proposal before sending it to the customer in the last step.

  1. After previewing the proposal, tap Send Proposal to send it to your customer.

  2. In the Send Proposal screen, you can customize how it's sent to your customer.

  1. Name: Company's name.

  2. Sender Email: Company's email address.        

    Note: It's set to noreply@servicetitan.com by default, but you can modify it. You can edit it in Settings > Invoices > Email > Proposals.

  3. Home Owner Email: Homeowner's email address.

  4. Full Name: Homeowner's name.

  5. Sales Person Email: Sales technician's email address.

  6. Full Name: Sales technician's name.

  7. Bcc: Send a copy of the proposal.

  8. Subject: Subject of your mail.

  9. Summary: Summary of your mail.

  10. Online Link Expiration: Date of the proposal online link expiration.

  11. Attached Estimates: Presented estimate options.

  12. Attachments: Additional files.

  1. When finished, tap Send Proposal.

Complete a sales visit in ServiceTitan Mobile

Sales technicians must close all jobs before leaving the property, whether the proposal is sold or not. Your company may also require you to complete certain forms when a job is sold, and sometimes even when it isn't.

To complete the job:

Note: You can skip the forms and just close out the jobs in Step 6.

  1. Go to the job and tap Forms.        

    Note: You may also receive a notification to complete a form, then tap Continue.

  2. Required forms are marked as Required. Tap a form name to select it.

  1. Fill out the fields in the form. For more, see Complete a form.        

    Note: You can customize the form fields to match your company's specific needs.

    Note: Accuracy at this stage is important as information may be used to order material.

  3. Tap Back to forms to return to the Forms module.          Dialog box titled Form Saved, Completed with the text Form is submitted. and two action links/buttons on the right—BACK TO FORMS (pink) and BACK TO JOB (blue)—with a hand cursor over the Back to Forms area.        

    Now repeat the same actions for any additional forms.

On the screen that opens, tap Complete the Job.

  1. If any requirements are missing, they appear as an alert on the Job Closeout screen. Complete the requirements by tapping on the alert.

  2. If there are no alerts, tap Closeout.

  3. On the pop-up that appears, tap Complete Job.
