Overview

The Daily Logs report template is used to review daily site activity across multiple construction projects. It includes entries such as date, project, weather conditions, labor hours, equipment usage, and notes from the field. This report helps project teams track progress, identify trends or issues, and maintain a complete record of daily project operations.

  • Administrators, office employees, managers, accountants, bookkeepers, technicians, dispatchers, and customer service representatives (CSRs)

  • Primarily benefits  Residential Service, Residential Construction, Commercial Service, and Commercial Construction business types, Applies to all business types

  • This feature is currently in Private Preview/Limited Release and is subject to change.

  • The ability to create custom reports depends on the ServiceTitan package your company is subscribed to. If you don’t have the option to create a custom report, it may not be included in your package. Contact for details.

Things to know

  • If you’re unsure which columns you want to include in your report, use the Reporting Dictionary to search for appropriate data fields. 

  • You can use this template to create as many custom reports as you need. Each report created from the template is independent and can be run or scheduled without needing to recreate it from the original template.

Review Daily Activity and Issues on active jobs to quickly understand what happened on each project for a given day.

Use the report to review field activity and issues for a specific day across all of your active projects:

  • Filter 'Project Status' to in-progress statuses so you focus on live work.

  • Filter 'Daily Log--Work Date' to yesterday, today, or your desired date range.

  • Scan '1-Day Field Headcount (#)' and '1-Day Hours Logged (#)' to confirm that staffing and hours align with your plan for each job.

  • Use '1-Day Issues Identified (Y/N)' and the various notes fields to spot logs with safety incidents, issues, or weather impacts that may require follow-up.

  • For any concerning entry, drill into the Daily Log in ServiceTitan or follow up directly with the foreman or technician who submitted it.

Follow Up on Logs with Safety Incidents or Critical Issues to ensure every safety event or major issue has a clear owner and next step.

Filter the report to highlight daily logs that captured safety incidents or other issues that need action:

  • Filter '1-Day Issues Identified (Y/N)' to 'Y' to see all logs where the team flagged an issue.

  • Filter where 'Daily Log Safety Incidents--Notes' or 'Daily Log Issues--Notes' is not blank to narrow in on safety-related or operational problems.

  • Group or sort by 'Project Manager' and 'Project Name' to understand which jobs and teams have the most open items.

  • Use the notes fields to document the follow-up plan, then track completion either through additional Daily Logs, tasks, or internal workflows.

  • Revisit this view regularly (for example, daily or weekly) to confirm that previously identified incidents and issues have been resolved.

Ensure Daily Logs are submitted, signed, and approved promptly to reinforce documentation discipline so field activity is properly recorded each day.

Use the report to identify Daily Logs that are missing key steps in the workflow:

  • Filter 'Daily Log--Work Date' to a recent range (for example, the last 7–14 days).

  • Filter 'Daily Log--Status (Option)' to statuses that indicate drafts or unapproved logs, depending on how your team has configured statuses.

  • Filter 'Daily Log--Signature (Y/N)' to 'N' to see logs that have not yet been signed, where applicable.

  • Look for logs where 'Daily Log--Approved Date' is blank to find entries still waiting for review.

  • Group or sort by 'Project Manager' and 'Project Business Unit' to see which teams are consistently completing the workflow and where you may need to coach on expectations.

Measure Daily Log Usage and Compliance across Product Managers and Business Units to understand which teams consistently document work and which need support.

Analyze Daily Log activity over a defined period to see how consistently teams are documenting field work:

  • Filter 'Daily Log--Work Date' to the timeframe you want to analyze (for example, last month or last quarter).

  • Group logs by 'Project Manager', 'Project Business Unit', and 'Project Status' to see where Daily Logs are being submitted regularly.

  • Review distributions of 'Daily Log--Status (Option)' and 'Daily Log--Signature (Y/N)' to understand how often logs reach signed or approved states.

  • Use '1-Day Hours Logged (#)' and '1-Day Hours Logged (% Total Hours)' to ensure that days with significant labor on a project also have corresponding Daily Logs.

Identify Projects with persistent issues or low project health to spot jobs that may need executive attention based on patterns in their Daily Logs.

Use the content of Daily Logs to find projects with recurring issues or low project health scores:

  • Filter 'Project Status' to in-progress statuses so you are focused on active work.

  • Look for logs where 'Daily Log--Project Health (Option)' reflects concern or risk based on your chosen scale.

  • Filter '1-Day Issues Identified (Y/N)' to 'Y' and review counts by 'Project Name' to see where issues are repeatedly reported.

  • Scan 'Daily Log Safety Incidents--Notes' and 'Daily Log Issues--Notes' for patterns such as repeated delays, coordination problems, or quality concerns.

  • Combine these insights with project dates and status to create a watch list for executive review meetings and decide where to provide additional support or escalate with the customer or GC.

Understand labor intensity and staffing patterns across the portfolio and use Daily Log data to inform staffing and planning decisions.

Leverage Daily Logs to understand how labor is distributed across projects and over time:

  • Filter 'Daily Log--Work Date' to the analysis window you care about (for example, the last 3–6 months).

  • Analyze '1-Day Field Headcount (#)' and '1-Day Hours Logged (#)' by 'Project Name', 'Project Type', and 'Project Business Unit' to see which jobs and segments consume the most field capacity.

  • Compare these patterns against 'Project--Planned Start Date (Date)' and 'Project--Planned Completion Date (Date)' to ensure staffing levels align with planned schedules.

  • Use 'Customer Type' and 'Customer Name' to understand whether certain customers or segments tend to drive higher or more volatile day-to-day labor demand.

Create a Project Operations: Daily Log report

Follow the steps to create a custom report based on the Project Operations: Daily Logs template and select the columns to include in your report. You only need to create the report once. After it’s created, you can share it with others who may need to access the information in the report, edit report columns, and more.

Report data fields

The template has the following columns selected by default:

  • Daily Log Status: Submission status of the Daily Log. Options include: Draft, Approved.

  • Daily Log Work Date: Date of the work captured in the Daily Log; this is not the date the Daily Log was created or submitted.

  • Daily Log Submitted Date: Date that the Daily Report was initially saved in the field.

  • Daily Log Project Health: Indicates the Project Health score, as of the Daily Log submitted date. Options include: On Track, Off Track, At Risk.

  • 1-Day Field Headcount: Number of field headcount who worked on the Work Date.

  • 1-Day Hours Logged: Number of total labor hours logged on the Work Date.

  • 1-Day Hours Logged: Actual hours logged on the Work Date, divided by the total labor budget.

  • 1-Day Issues Identified: Indicates if issues were identified within the Daily Log.

  • Project Name: Name of the project.

  • Project Manager: Name of the project manager assigned to the project.

Report Filters

Describe the filters used in the report. Note if any are required to set before running the report. 

  • Project Status: Use this filter to include only projects with specific statuses. Options include: Bid, Canceled, Completed, Hold, In Progress, Pending Scheduling, and Scheduled. You can select one or multiple options to narrow the report results based on the stage of the project lifecycle.

    Tip: As a best practice, we recommend using the Project Status filter to limit results.

  • Project Manager: Use this filter to include only projects managed by specific project managers. You can select one or multiple project managers to focus on work assigned to certain individuals or teams.

  • Work Date From - Work Date To: Use this filter to include only daily logs with a start date on or after the date you specify. This helps focus the report on daily logs that began within a specific timeframe, such as the start of a fiscal period or a new operational cycle.

  • Current Project Health: Use this filter to include only daily logs with a specific current health status. Options include: None, On Track, At Risk, and Off Track. You can select one or multiple options to track performance across various project conditions.

  • Daily Log Status: Use this filter to include only daily logs with specific statuses. Options include: Draft, Submitted, and Approved. You can select one or multiple options to narrow the report results based on the stage of the daily log.

When you’re finished setting filters, click Run Report

Click Edit Columns to add and remove columns from the report. For further customization, you can also arrange report columns and apply filters to columns
