Process a check payment / bank transfer (ACH) directly in ServiceTitan

Overview

In ServiceTitan, you can process customer checks or bank transfers (ACH) to pay for equipment or services.


Who uses this feature

  • Administrators, Office Employees

  • Account configuration is required for this feature. Please contact Technical Support for details.

Things to know

  • Before you start, read about compliance regulations for accepting ACH payments. For more information, see Guide to ACH payment compliance.

  • If you haven't already signed up for ServiceTitan Payments, see Accept payments in ServiceTitan.

  • If a customer mails in a check or wants to do a bank transfer over the phone, you can process the payment by navigating to the invoice.

  • You can also store the customer's bank information for future payments.

Best practices

  • Make sure you have gathered authorization from the customer before processing an ACH payment.

  • When processing checks:        

    • Hold on to physical checks (if provided) for at least seven days, regardless of whether you are keying in account/routing numbers or taking pictures of checks.

    • Shred and discard physical checks thereafter.

Process a bank transfer

To process a check payment / bank transfer (ACH) directly in ServiceTitan:

  1. Search for and go to the invoice.

  2. Click Add a Payment

  3. Enter payment information.        

    1. Amount—This defaults to the full balance of the invoice, but you can enter any amount.

    2. Type—Select Check or any equivalent payment type, for example, bank transfer.

    3. Paid On—Defaults to today's date.

    4. Memo—Enter a memo on the payment. For example, you could indicate that this is a down payment.

    5. Authorization Code—Leave this blank. This field automatically populates once the transaction is processed.

  4. Click Charge Account.        

    Note: The bank can hold the check for two to three business days after the deposit.

       

  5. Enter the banking information.        

    1. Authorization Method—Select the authorization method from the dropdown. For more information about authorization methods, see Guide to ACH payment compliance.

    2. Owner Name—Enter the name as it appears on the check. If no check is provided, enter the account owner.

    3. Routing (ABA) Number—Enter the routing number. This can be found on the front of the check. 

    4. Account Number—Enter the bank account number.

    5. Confirm Account Number—Confirm the bank account number.

    6. Check Number—Enter the check number.

    7. Store account data for future payments—Select the checkbox to store the customer's banking information for future payments or recurring billing.

  6. When you're done, click Charge

What is the difference between ACH and Mobile Check Capture?

ACH is when the user enters the routing and account number manually. Mobile check capture is when the user takes a picture of the check and sends the image to the processor.

What kind of checks can I use mobile check capture for?

You can use mobile capture for:

  • Official checks

  • Cashier's checks

  • Traveler's checks

  • Money orders

The above check types cannot be processed using ACH (entering routing/account numbers). If you are not using mobile check capture, these check types will need to be deposited at the bank.

Do checks need to be endorsed by signing the back side when using Mobile Check Capture?

No, you do not need to sign the back of the check. Checks processed through Mobile Check Capture are virtually endorsed and do not require a physical signature.

Note: After taking a picture of a check, it is highly recommended that you write a note on the front of the check indicating that it was processed. We recommend writing "Mobile Deposit [date check received]" on the front of the check. This will ensure that the same check is not deposited twice.

Other recommendations when taking pictures of checks:

  • Place the check flat on a dark-colored surface that's not reflective and is well lit.

  • Position your mobile device's camera directly over the check (not at an angle), fitting all four corners into the guides provided.

If we have a picture of the check do we need to hang on to the physical check? What if the routing or account number has been keyed in?

You should keep all physical checks for at least 7 days, regardless of whether you are keying in accounts or routing numbers or taking pictures of checks. This provides sufficient time in case the original check is required for any reason. You can shred and discard physical checks thereafter.

Can I use the Mobile Check Capture if I am based in Canada?

No, the Mobile Check Capture feature is currently not available for use in Canada.
