CSRs cannot connect Quickbooks Desktop to the hosted server

There is a red circle in front of the customer's file name and the customer's customer service representatives (CSRs) cannot connect their QuickBooks Desktop (QBD) file to their hosted server. The customer created a separate file with a different name and we want to avoid creating a new connection to that file. Connecting to their new file is a problem for three reasons:

  • Creates duplicate customers/vendors.

  • Exports transactions without classes.

  • An error occurs when exporting a batch that was created before the new connection was established.

Solution

Instead of connecting to the file the customer created, rename the customer's QBD file back to the original name. Once the QBD file is renamed, connect the renamed file. Walk the customer through the following steps to rename their QBD file and connect:

  1. Find the QBD file in Windows explorer, and then right click and select Rename.

  2. Rename it back to the original file name.        

    Note: To find the previous file name, go to ServiceTitan > Settings > Integrations > QuickBooks Desktop and use the file name displayed in the box.

  3. Once the QBD file has been renamed, instruct the user to click the QBD box. 

This opens the user's QBD files.

  1. Click Add a Connection.  

  2. Have the customer name their new connection. Best practice is to include the name of the hosted server connection.
