Deactivate inventory locations

Problem

Users may encounter problems deactivating inventory locations due to pending purchase orders, negative quantities and active trucks.

Solution

Deactivate inventory locations

Before an inventory location can be deactivated, there must not be any pending purchase orders, negative quantities or active trucks.

Diagnose the solution

1. Go to Inventory > Inventory locations > Warehouses.

2. Click on the Warehouse Name to see all items.

3. If there are any negative numbers in the Total Qty column they need to be cleared, see below.

4. If there are any positive numbers in the Qty on Order column, the pending purchase order must be updated.

5. Click on Back to Warehouses

6. Click on the Trucks tab

7. In the Warehouse filter dropdown, select the checkbox next to the warehouse and click Apply.

8. If there are any trucks listed, they need to be removed from that warehouse, see below.

Clear a Negative Quantity (if needed)

1. Go to Inventory > Adjustments

2. Click on Create New

3. Add the item with the negative quantity to the inventory location

4. Click Save. Repeat as needed for additional negative quantities.

Clear Pending Purchase Orders (if needed)

1. Go to Inventory > Inventory locations > Warehouses.

2. Click on the Warehouse Name to see all items.

3. Click on the item with the quantity on order.

4. In the Transactions table, click on the hyperlink in the Transaction Source column. The Purchase Order opens.

5. Click on the Actions drop-down and select Edit.

6. Change the Inventory Location to a different warehouse.

7. Click Save. Repeat as needed for additional items.

Remove Trucks (if needed)

1. Go to Settings > Inventory or Purchasing > Inventory Locations

2. Use the Warehouse filter to narrow the list of assigned trucks

3. Click on Edit next to any truck assigned to that warehouse.

4. In the Warehouse Attached dropdown, select a different warehouse.

5. Click Save. Repeat as needed for all assigned trucks.

Once the pending purchase orders, negative quantities and assigned trucks are removed:

Deactivate the inventory location

1. Go to Settings > Inventory or Purchasing > Inventory Locations > Warehouses

2. Click on the checkbox next to the location you wish to deactivate

3. Click on Deactivate.
