Overview

ServiceTitan has partnered with industry-leading payment processors to offer a complete payments solution. You can use the features offered by ServiceTitan Payments, including credit card swiping, mobile check capture, and integrated refunds, to accept payments easily and efficiently.


Who uses this feature

  • ServiceTitan payments let you take pictures of credit cards and checks to process payments. For more information, see Mobile payments.

Mobile payments

  1. Swipe the credit card.

  2. Tap Use Swiper to swipe the card.  

  3. Take a picture of the credit card
    With this feature configured, technicians can take pictures instead of manually keying in credit card numbers and expiration dates. This can save technicians time when they are out in the field.

  4. Manually enter the credit card
    Technicians also have the option to manually enter credit card information. Technicians can store a customer's credit card or bank information for future billing.        

    Note: When a technician taps Charge, the customer is required to sign and accept the charge. For your protection, ServiceTitan stores the digital signature in case of a future dispute.

Technicians have two different options to process checks or bank transfers (ACH):

  1. Mobile check capture
    Technicians can take pictures of the front and back of a check to process the payment. They don't need to physically endorse the check. 

  2. Manually enter bank information
    Technicians can process checks as an ACH (bank transfer). They will manually enter the routing number, bank account number, and account holder's name found on the front of the check. Payments are generally processed within one business day.

Process payments in ServiceTitan

To charge a credit card, employees can enter their credit card information. The customer's credit card can be stored for future billing.

Storing Credit Card Information Securely (Credit Cards)

  • This feature gives users the ability to store credit card transactions securely on our PCI Compliant Payment Gateway and charge the card at any time, for both memberships and future job payments.

  • Credit card information may be temporarily stored encrypted in the technician's tablet. It's necessary in case no internet connectivity is available.

  • Credit card information is deleted once it's transmitted encrypted to our payment PCI DSS Level 1 compliant gateway. Once received by the gateway, the information is transmitted encrypted to the payment processor.

  • Credit card information is only stored with the payment processor. ServiceTitan only keeps the token and the last 4 digits in its data centers.

  • If the user chooses to use an encrypted card reader, the credit card data is encrypted before it's moved to the tablet and travels encrypted all the way to the payment processor.

To process a check, the employee enters the routing number and banking information. The customer's bank information can be stored for future billing. For more information, contact our payment support team.

Note: Employees can also edit a customer's payment methods and select the primary payment method to be used for regular billing.

Process refunds directly with ServiceTitan

Employees can navigate to the invoice to process refunds or void transactions.

Note: Whenever you process a refund, the best practice is to create a refund adjustment invoice. For more information, see Create a refund adjustment invoice and issue a refund.

Office administrators and managers can view transaction reports

Administrators can use ServiceTitan Gateway (credit card portal) or ServiceTitan SmartPay (check / ACH portal) to view transaction reports. The ServiceTitan Payments team can provide sign-in info.

Signup process for ServiceTitan Payments

To sign up for ServiceTitan payments, follow these steps:

Step 1: Contact your success or implementation manager

Tell your success or implementation manager that you'd like to sign up for ServiceTitan Payments. The ServiceTitan Payments Team will contact you and walk you through the signup process.

Note: When you talk to the ServiceTitan Payments Team, make sure to let them know if you're interested in the following features:

  • Credit card swiping

  • Taking pictures of credit cards

  • Mobile check capture

These features require additional account configuration.

Step Two: Complete the Payments Onboarding Survey

The ServiceTitan Payments Team will send you the Payments Onboarding Survey. The survey requires some information from your company's latest IRS W-9 form.

You also need to upload the required documentation pertaining to your business. Please be aware that these documents are required in order to submit your merchant application:

  • Business license OR Articles of incorporation/organization

  • Voided check

  • Three most recent merchant statements (only required for credit card processing)

  • Three most recent bank statements (only required for check processing)

We recommend uploading this required documentation as you complete the Payments Onboarding Survey. However, you can send in these items later if they are not readily available.

Step Three: Review and sign the digital application

After you complete the Payments Onboarding Survey, the ServiceTitan Payments Team sends you the ServiceTitan Payments partner agreements. Review and digitally sign these agreements.

Final steps: Make sure you are ready to start using ServiceTitan Payments

Before you begin processing payments, the ServiceTitan Payments Team assists you with all the necessary final steps:

  • ServiceTitan settings—The ServiceTitan Payments Team helps you do the necessary setup in ServiceTitan, including setting up your payment types.

  • Order swipers—The ServiceTitan Payments Team helps you order mobile swipers and can provide as many as your team needs. More information on swipers is available below.

  • Move stored credit card information—If needed, the ServiceTitan Payments Team can help you move over stored credit card information from your previous payment processor.

  • Check for debit blocks—Contact your bank to see if any debit blocks are in place for check processing. For more info, read the FAQ about debit blocks in place in your bank account.

  • Merchant portal logins—You can process payments, process refunds, and void transactions directly in ServiceTitan using the provided sign-ins to the merchant portals. If you ever lose your sign-in information, simply contact the ServiceTitan Payments Team at payments@servicetitan.com or (855) 899-0970.

The following merchant portals are used with ServiceTitan Payments:

  • ServiceTitan Payments Gateway (for credit card processing)

  • ServiceTitan Payments SmartPay (for check processing)
