Frequently Asked Questions

How do I set up tax zones?

You can set tax zones in ServiceTitan by going to Settings > Tax Zones. For more information, see Sales tax setup: Sales Tax by tax zone.

Why can't I see the tax rate table (to add multiple tax rates) in ServiceTitan for my tax zones?

Ensure you have checked Charge multiple taxes for this zone. If you can't see that option when you are editing your tax zones, contact Technical Support for details to configure your account.

Why isn't sales tax showing on my ServiceTitan invoice?

Sales tax may not populate on your ServiceTitan invoice if tax zones are not set up correctly. To ensure tax zones are set up correctly:

  • Make sure each zone has the correct zip codes assigned.
  • Ensure your customers' addresses are Google verified.
  • Once you have set the tax zones, you must click Set Tax Zones to apply the settings to your customers.
  • You can manually add a tax zone to a customer by going to Search > Customer Name > Location > Edit Pencil > Tax Zone.
  • The service or equipment is not set as taxable. Your service/equipment must be set as taxable for sales tax to be applied. Go to Settings > Pricebook > Services or Settings > Pricebook > Equipment, and click into the service or equipment. Ensure the box beside the Taxable field is checked.
How can I see what my sales tax liabilities are?

You can check your sales tax liabilities for each tax zone by running a QuickReport in QuickBooks. To run the QuickReport:

  1. Go to Lists > Item List.
  2. In the Look for search bar enter the name of the sales tax.
  3. At the bottom of the window, select Reports > QuickReport.
What should I do if I am receiving another error on the Pending Export Report?

If you are receiving another type of error, ensure your services and equipment are mapped to the appropriate account or class in QuickBooks.

Where can I find an exported batch within QuickBooks Online?

Batches (batch number and name) are not sent to QuickBooks so you cannot search for a specific batch. Instead, you can search for the individual transactions that exist in the batch.

  1. Go to QuickBooks Online and select the magnifying glass on the toolbar.
  2. Enter the date, amount, or transaction number you're looking for, then select the desired transaction.
  3. If the transaction you're looking for does not appear on the results list, select Advanced Search.
  4. Adjust the filters to find the type of data you want.
  5. To make the search easier, you can look up invoices by customer: from the left menu, select Sales, then Customers, and select a customer to view their transactions.
  6. If you're still having issues, clear cache and cookies on your browser.
What transaction type do returns export to?

Return transaction types do not export to QuickBooks Online. You will need to batch these transactions, bypass them in ServiceTitan, and manually create them in QuickBooks Online.

Can I export inventory adjustments to QuickBooks Online?

Inventory adjustments do not export to QuickBooks Online. They do not carry dollar value as they only adjust item quantity. You can batch inventory adjustments and bypass them in ServiceTitan, then create the inventory adjustments manually in QuickBooks Online.

How do I activate QuickBooks Online sync after switching over from QuickBooks Desktop?

To activate QuickBooks Online sync after switching from QuickBooks Desktop, contact your Customer Success Manager (CSM). You must have admin privileges when contacting your CSM.

Can Mac users connect directly to QuickBooks Online without using a third-party service?

Yes. Mac users can connect directly to QuickBooks Online (QBO) because it uses a cloud-based API integration — no third-party software or web connector is required. The RightWorks integration is only needed for QuickBooks Desktop (QBD), which relies on the web connector. Mac users can simply set up the direct QBO integration in ServiceTitan to sync their accounting data seamlessly.
