Manage and create work orders in a project

Overview

When working on a project, you can also manage work orders under that project. This includes creating work orders directly from the project, duplicating existing work orders to create new work orders, attaching existing work orders to a project, and moving work orders from one project to another.


Who uses this feature

  • Administrators and CSRs

  • Account configuration is required to use this feature. To update your account, please contact Technical Support for details.

Things to know

  • You can use the Work Order Created alert to track when work orders are created. For more, see Use alerts.

  • When you create a new work order outside of a project, including creating a work order from a call, we recommend you follow the steps in the Create a work order guide.

  • The work order's business unit must match one of the project's assigned business units, if it has any.

  • Work orders created from or added to a project are marked as No Charge.

Best practice for construction projects

When creating work orders for construction projects, we recommend you create the work order directly through the project instead of through a sold and Converted estimate. This is important if you're using the Application for Payment feature to avoid reporting more project revenue than actually earned.

Create a work order from a project

  1. Find the project to which you want to add a work order.

  2. From the Actions dropdown, click Create work order. Call Booking opens. Dashboard for Bookstore Renovation project with options to manage tasks and jobs.

  3. Use the Call Booking page to add the work order. The work order is automatically attached to the project.

Create a duplicate work order from a project

Note: Account configuration is required to use this feature. Please contact Technical Support for details.

When an existing work order on a project has the same information as the work order that you want to create, you can duplicate the original work order. For example, if you're creating work orders for a project that spans multiple business units and technicians, you can duplicate a work order you've already created and change the technicians and business unit on it. That way, you can avoid filling out the Call Booking screen with the same information, focusing instead on the scope of work and making sure the correct technicians and business units are assigned to the new work order.

To create a duplicate work order from a project:

  1. Find the project to which you want to add a duplicate work order.

  2. Go to Work Orders & Appointments.

  3. Select the work order you want to copy.

  4. From the Work Order Actions dropdown, click Duplicate Work Order. Call Booking opens.

  5. Use the Call Booking page to edit the work order information as needed and create the work order.

Attach an existing work order to a project

  1. Find the project to which you want to attach an existing work order.

  2. From the Actions dropdown, select Attach Existing Work Order. Attach existing work order opens. Dashboard for bookstore renovation project with task management and financial details displayed.

  3. In the Attach existing work order pop-up, use the dropdown list to select the existing work order you want to attach.

    Note: ServiceTitan pulls up work orders that have the same service location as the current project.

    Tip: Enter the first few numbers of the work order in the search bar to find the existing work order you want.

  4. When you're finished, click Attach.

Move work orders from one project to another

If you added a work order to the wrong project, you can detach the work order from the incorrect project and attach it to the correct one:

  1. Find the project connected to the work order you want to move.

  2. Go to the Work Orders & Appointments tab.

  3. Select the work order you want to detach.

  4. From the Work Order Actions dropdown, select Detach from project.

You can now attach the work order to the correct project.
