Overview

Using the Inventory Locations page, you can see location stock items for your trucks and warehouses that you have created in Settings. To start, click Inventoryfrom the navigation bar, then select Inventory Locations under Overview. The Inventory Locations page is made up of two tabs: Trucks and Warehouses.

Trucks

Click the Truck tab to see a list of all the trucks that you set up. Use the filters to search for a specific truck. Click on a filter type and enter the information you want to filter by.

By clicking a specific truck, you can see the following:

  • Truck Name

  • Truck Details:

    • Warehouse it is associated with

    • Technicians associated with the truck

    • Stock item template the truck uses

  • Item List—Items that are currently in the truck with their quantity values

Note: To edit trucks, see Set up inventory locations (trucks and warehouses).

Click the specific item to view the transaction details and track transactions that impacted the item quantity. For more information, see View transaction details.

Warehouses

Click the Warehouses tab to see a list of all the warehouses you have set up. Use the filters to search for a specific warehouse. Click on a filter type and enter the information you want to filter by.

Tip: To see only active warehouses, select the Only Show Active option.

By clicking a specific warehouse, you can see the following:

  • Warehouse Name

  • Warehouse Details:

    • Address

    • Number of trucks associated with the warehouse

    • Stock item template the warehouse uses

  • Item List—Items that are currently in the warehouse with their quantity valueImage showing the Default Warehouse screen.

Note: To edit warehouses, see Set up inventory locations (trucks and warehouses).

Click the specific item to view the transaction details and track transactions that impacted the item quantity. For more information, see View transaction details.

Download truck or warehouse details

To download truck or warehouse details, from the Download dropdown field, select the format you prefer, for example, PDF. The truck or warehouse details will be downloaded to your device.

View transaction details

Use the transactions screen to view activities that result in quantity changes for an item.

To view transaction details for an item at an inventory location:

  1. Go to the navigation bar and click Inventory.

  2. From the side menu, select Overview > Inventory Locations.

  3. Click the Truck or Warehouses tab to view the item you want.

  4. Click on any item to view details:

  • Item Name

  • Item Details

    • Inventory Location

    • ST Part #

    • Item Description

    • Item Type

    • Qty Available—Quantity on hand that has not been reserved for any present or future transaction

    • Qty on Hold—Quantity on hand that is reserved for any present or future transactions

    • Qty on Order—Quantity value on open purchase orders that will be received in the future to increase the quantity available

    • Qty on Hand—The sum of quantity available and quantity on hold and the number of items physically present in the truck or warehouse

    • Total Quantity—The sum of quantity on hand and quantity on order

  • Transactions—list of transactions with their quantity valuesImage showing the transaction details.

To view detailed information about the transaction source, click the transaction source name under the Transaction Source column.

To view the serial number of the transaction, click View under the Serial Numbers column.

Transfer items from a Truck or Warehouse

Before transferring items between inventory locations, make sure you have technicians assigned to your trucks and business units assigned to those technicians.

Note: When adding inventory items to an invoice and assigning a technician to a job on the office side, a popup may open asking if you want to change the inventory location based on the technician assigned. Clicking Yes will change the inventory location to the assigned truck on the technician.

  1. Go to the navigation bar and click Inventory.

  2. From the side menu, select Overview > Inventory Locations.

  3. Click the Truck or Warehouses tab from which you want to transfer items.

  4. From the Item List, select the items you want to transfer.

  5. Click Transfer.

    Note: If you select Transfer All Quantity, all of the quantity available for the selected items will be transferred.

    On the Create Transfer page that opens, enter all the details for the transfer. For more information, see Create, edit, and copy inventory transfers.

  6. When you're done, click Save.
