Problem

Your customer paid their initial deposit but it will take a few months for the material to come in. You want to know if there's a way to set up a waitlist in ServiceTitan that the customer can't view so you can track your in-progress work efficiently.

To manage waitlists for jobs and projects in ServiceTitan, consider the following solutions:

  • Use Custom Reports: Create a custom report for an overview of your projects. Choose Job Costing and Payroll as the report type and Project Job Costing as the report template. This report allows you to customize and view various details about your projects.

  • Use Project Statuses: Project statuses help you identify what stage a project is in at a given time. You can locate projects in specific statuses on the Search screen. Set the Search Type to Project and narrow down the results with other search fields, such as projects with a Pending Scheduling status. This allows you to quickly access projects and their details.

  • Hold Jobs: After winning an estimate and scheduling the installation job, put the job on hold immediately. This keeps the appointment in the Hold status without creating a second appointment. You can view jobs on hold in the Job Tray at the bottom of the Dispatch Board by clicking the Hold tab. Hold jobs do not expire.

  • Use Project Management: Use Project Management to manage the entire project, including estimates. You can put the entire project on hold and use sub-statuses for organization, such as Hold - Parts ordered. Customize these statuses to fit your needs.

  • Use Project Portfolio: Project Portfolio is a project management tool that gives you a high-level overview of your projects and lets you manage them based on the information presented, including budget, invoices, payments due, and more.
